As an Assistant at Ahold Delhaize, your goal is to ensure efficient, effective and high quality secretarial and organizational support in a pro-active manner, to the Vice President Enterprise Platforms and his supporting team, in line with internal directives and to enable them to perform their job efficiently.

Your new work environment
As an Assistant at Ahold Delhaize, your goal is to ensure efficient, effective and accurate administrative and organizational support a pro-active manner (handling most matters autonomously) to the team, in line with internal directives and to enable them to perform their jobs efficiently. Tasks are performed in a highly demanding environment which requires an energetic, flexible, professional and service oriented assistant with an eye on delivering quality. You will work together with the E.A. of the CTO in US on a weekly basis to align the pending cases, newsletter and the quarterly Townhall.

Department and team
The team you are going to work for is the AD Group Enterprise Platforms which includes multiple sub-teams:

  • Enablement
  • HR Tech
  • Collaboration and Data Analytics

The team is considered a scale-up within the big corporate. This is due to the rapid growth and phase the team is currently in with a total of 245 people.

Key responsibilities of your role 

  • Full management of agenda, scheduling both external and internal meetings, teams meetings and offsites/events/dinners for the VP Enablement and director HR Tech.
  • Arrange all corporate travel (both national and international), hotel and car bookings for the VP and Directors (Zaandam based).
  • Check flights, hotels before the VP and directors traveling, connect with them if there is a issue also in the weekends.
  • Participate in the MT Enablement, MT HR Tech and the ELT (Extended Leadership Team), making action list and take lead.
  • Arranging offsites, team events/drinks, celebrations and town halls including catering.
  • Handle all kinds of queries from managers and employees.
  • Process organizational changes.
  • Update distribution lists and associates lists.
  • Review articles for the weekly newsletter and place them on Sharepoint, sending the newsletter every Friday noon.
  • Support budgeting and bookkeeping procedures.
  • Create and update records and databases with personnel, financial and other data.
  • Update office policies and ensure compliance with them.
  • Efficient internal communication and announcements etc. via email updates to the platforms.
  • Support the VP, 2 directors and the ELT by managing small internal improvement projects.
  • Assisting leadership by creating PowerPoint presentations and decision papers for leadership meetings, the quarterly Townhalls etc.

Requirements 
We think you’ll be best geared for success if you meet the following requirements:  

  • Minimum 1 year of experience working.
  • Ability to work 32-40 hours a week.
  • Experienced user of O365 (Outlook, OneDrive, SharePoint, Teams etc.).
  • Respect confidentiality of sensitive information.
  • Strong organizational skills.
  • Excellent command of both Dutch and English, spoken and written (communication to the department is in Dutch and English).
  • Passion to deliver quality and enhancing the quality of work.
  • An eye for details and timelines.
  • Ability to understand and work within a complex organizational structure.
  • Team player: flexibility to support others as required.
  • Ability to work independently and act proactively, with minimum instructions.
  • Ability to work in a demanding environment, managing and prioritizing multiple tasks at the same time, responding at a moment’s notice and frequently under high pressure.
  • Self-confidence and a sense of humor.
  • High standards of personal integrity.
  • Good sense of internal and external relationships.
