About the role

Want to support on the global stage? As Executive Assistant, you’ll have the freedom to take your skills and expertise to the next level.

Joining an innovative Research & Development function, and working alongside a key leader, you’ll tackle challenges right across the mix. You’ll take on everything from managing a diary, arranging meetings and events to preparing presentations and organising travel. The pace and complexity of our business will mean that every hour could bring something new. And you’ll respond effectively every time.

You combine executive assistant experience with a proactive and adaptable approach, and there’s nothing you don’t know about Microsoft Office 365. Your responsibilities

You will be responsible for the following:

1. Calendar Management: Scheduling and organizing meetings, appointments, and events to ensure efficient time management.
2. Communication Handling: Managing emails, phone calls, and other correspondence, often prioritizing and responding on behalf of the executive.
3. Travel Arrangements: Coordinating travel plans, including booking flights, accommodations, and transportation.
4. Meeting Coordination: Preparing agendas, taking minutes, and ensuring follow-up on action items from meetings.
5. Document Management: Organizing and maintaining files, documents, and records, both physical and digital.
6. Expense Management: Handling expense reports, budgeting, and financial documentation.
7. Project Support: Assisting with various projects, including research, data analysis, and presentation preparation.
8. Confidentiality: Managing sensitive information with discretion and maintaining confidentiality at all times.
9. Office Management: Overseeing office supplies, equipment, and ensuring a well-organized workspace.
10. Liaison Role: Acting as a point of contact between the executive and internal/external stakeholders.

The experience we're looking for

• College degree (or equivalent) and prior administrative experience are required.
• Excellent organizational, verbal and written communication skills with attention to detail are critical. • Excellent in English in writing and speaking • Advanced knowledge of business systems and software, including Learning Management System (LMS), Microsoft Office 365, SAP, T&E, calendar, and email.
