Your key responsibilities

  • Oversee and manage sales processes, from project initiation to post-sales activities: breaking down tasks, identifying necessary resources, developing and monitoring timelines, and ensuring accurate and timely execution.
  • Manage all client sampling and final submissions: order and coordinate application samples, facilitate washes with the laundry technician, align with CI and Sensory team for consumer and sensory testing, and arrange shipping/courier to the client. This includes picking up base from client and bringing them to the lab.
  • Assist with day-to-day client requests such as ordering oil samples, providing regulatory documentation, and handling other ad hoc requests.
  • Design databases and support systems for managing responsibilities, and continuously monitor and improve these tools and systems to ensure fit for purpose.
  • Serve as the first back-office contact for your accounts/business team, maintaining clear cross-functional communication, and establishing strong networks and relationships with both internal teams and clients.
  • Master Company database systems, coordinate brief-to-adoption process with ACM, and navigate project management tools.

You bring

  • 3-5 years of experience as a commercial assistant/administrative or project management.
  • Computer literacy and in-depth mastery of Firmenich systems & tools: SAP (CMIR, MDM customer, MDM material, sampling, pricing) Spire, Class, Cristal (regulatory) preferred.
  • High level of detail, organization, memory, drive, and rigor
  • Willingness to be in the office 3+ times per week
