We're looking for an Executive Assistant who wants to be part of that, not just adjacent to it. In this role you support the Head of Research – Innovation & Design with all administrative, organizational and operational matters, coordinating critical business activities and deliverables. Your role:

  • Travel planning and travel arrangements, logistics (including visa) and related expenses, including global travel, frequent changes, and contingency planning.
  • The role involves frequent last-minute changes, complex scheduling across time zones, and a high level of unpredictability.
  • Connecting the dots on the business cadence and proactively managing agendas, ensuring all meetings are planned in line with priorities, appropriately attended, have limited and logical commute time between rooms or office locations, and that the objectives of all meetings are clear in the invite.
  • Organizing and hosting meetings, events, video conferences, and webcasts, including keeping meeting rooms stocked and preparing for events.
  • Creating a weekly dossier of key global external communication, including articles, news reports, social media posts, and internal communications about priority topics related to the parenting and women’s health space to keep the team well read and up to date on relevant topics.
  • Remaining knowledgeable of corporate policies to be an effective delegate in key business systems where possible.
  • Interpreting and communicating executive intent to other employees, serving as a contact to employees or other stakeholders inside and outside the organization.
  • Dealing with sensitive, complex, and highly confidential information, demonstrating the highest integrity with team members and the other Administrative Assistants.
  • Creating draft letters, mails, office documents, personnel announcements, meeting minutes, and PowerPoints.
  • Tracking and managing the T&E budget along with Finance, including creating POs as needed.
  • Onboarding and offboarding employees and coordinating other HR and IT related matters.

You're the right fit if:

  • Bachelor level or equivalent demonstrated by relevant experience.
  • Experience with and comfort in supporting senior leaders and teams in a matrix environment.
  • MS Office (Excel, PPT, Word).
  • Experience with SharePoint, Teams, Workday, Concur, and Ariba Guided Buying (Purchase Orders) is a plus.
  • Experience working in a complex multinational matrixed organization.
  • Calm, structured, and able to operate confidently in a high-energy, demanding environment, with strong judgment and resilience.
  • Energized by working in a fast-paced environment and service oriented.
  • Takes authority and ownership rather than asking permission.
  • Accuracy and attention to detail with a sense of urgency and accountability.
