Job Purpose:

The Office Management Project Manager is responsible for coordinating and leading all projects related to the creation, refurbishment, or changes to company offices, ensuring alignment with the global strategy and corporate values: collaboration, diversity, and care for people.

This role requires proven experience in project management and coordination of multidisciplinary teams, as well as skills in asset management, operations, and technical services.

Experience in end user support (e.g. departments as Service Desk) is also a high value.

Should be able to work with several teams:

  • The Network and Communications, Middleware, Security, Infrastructure, Service Desk teams and their corresponding engineers, leads and project managers
  • The Atradius Global Facilities teams and their local suppliers and teams contracted by Atradius.
    • Group Facilities is a main stakeholder for ITOM.

Main duties and responsibilities

  • Planning & Organization: Plan and organize meetings and activities required for the execution of office opening, refurbishment, or relocation projects (MACS: Moves, Adds, Changes).
  • Budget Management: Support the management and control of the budget assigned to office projects, including resources, suppliers, and materials.
  • Team & Task Supervision: Lead and coordinate internal and external teams involved in projects, ensuring compliance with plans and collaboration with Facilities and other key departments.
  • Regulatory Compliance: Ensure all projects comply with applicable regulations and standards from an operations and facilities perspective.
  • Additional Project Management: Manage ad-hoc projects related to business needs, decommissioning of equipment, HR requirements, etc.
  • Process Evolution: Review and update office management processes to adapt to the changing needs of the organization.
  • Inventory Management: Supervise the inventory of assets (hardware/software/furniture) and ensure proper documentation in corporate systems.
  • Reporting: Prepare regular reports on the status of projects and activities for management and other stakeholders.
  • Leadership in Committees: Represent the Office Management area in committees and project teams, advising on the feasibility and technical direction of initiatives.
  • Innovation & Continuous Improvement: Identify opportunities for technological and process innovation to improve services and office experience.
  • Change Management: Collaborate with Change Management and Communication areas to manage the impact of projects on people.

Travel, overnight stays and flexibility of working hours may be required in support of the duties of the role.
