As an Executive Assistant at Ahold Delhaize, your goal is to ensure efficient, effective and high-quality organizational support in a pro-active manner, handling most matters autonomously.

We are looking for a new Executive Assistant for the SVP Health & Sustainability, Daniella Vega, the VP Climate and Environment, and the VP Health Diets. Tasks are performed in a highly demanding environment which requires an energetic, flexible, professional and service-oriented Assistant with an eye on delivering quality with the utmost confidentiality.

Key responsibilities of your role

  • Support the SVP by managing complex stakeholder meetings, developing strong relationships with other executive assistants, scheduling meetings, finding meeting space, arranging access for visitors, organizing (external and internal) meetings, managing incoming requests, and proactively signaling scheduling conflicts and connecting with other assistants to resolve them.
  • Pro-actively manage time in 1:1 meetings with SVP and VPs, coming to the meeting with key priorities for the coming week and taking a proactive role in managing the balance of the SVP’s schedule to allow for a good balance of work versus meeting time.
  • Process and document business information and business appointments effectively; including the logistics of Supervisory Board meetings, ExCo and Sustainability Leadership offsites and meetings, and planning and organizing the H&S group team and wider community meetings.
  • Handle financial administration via Coupa for SVP and VPs – supporting wider team members on training to understand how to manage vendors, purchase order requests, and processing all invoices and contracts.
  • Organize team offsites (MT and full team), internal engagement events and activities, onboarding new colleagues; occasionally provide corporate event support.
  • Arrange corporate travel (both national and international), arranging lodging and meeting accommodation.
  • Put together complex schedules for SVP such as international climate weeks, including a combination of multiple speaking events, bilateral meetings, shaping and compiling speaker notes from specialists in the team, and travel and prep time between events.
  • Take part in project teams when requested by the SVP, including project management support in ad hoc projects as needed.

  • A gross annual salary between €45.000,- and €55.000,- a year, including holiday allowance and excluding bonuses.

We think you’ll be best geared for success if you meet the following requirements:

  • Have experience in a similar role or with similar tasks and responsibilities.
  • Are fluent in English.
  • Can keep an overview of all moving parts, quickly switching between different activities and priorities and you get a lot of energy from this. You have an eye for details and timelines, and bring a proactive attitude.
  • Always think ahead and have the ability to understand and work within a complex organizational structure. You have a good sense of internal and external relationships.
  • Thrive in a demanding environment, managing and prioritizing multiple tasks at the same time, responding at a moment’s notice and frequently under high pressure. During (time) pressure you keep your head cool and you continue to work in a structured way.
  • Are self-confident and have a sense of humor; with high standards of personal integrity.
  • Are both a team and independent worker, easily connecting to others and building a network.
