The Principal Directorate General Administration (PD 44) oversees corporate facility management, construction projects and language services, playing a key role in shaping our workplace at the EPO. Our team ensures the smooth operation of our buildings, leads priority construction and renovation projects, upholds health and safety standards and drives sustainability initiatives to reduce our environmental footprint. We are also central to the implementation of the "New Ways of Working" strategy, creating more modern and flexible work environments for our staff.

Are you passionate about optimising and digitalising processes, managing projects, and enhancing service operations? We are looking for a skilled professional to lead process improvements in facility management, ensuring efficiency, quality and innovation in our workplace.

With us you will

  • Design, develop, implement and digitalise new and improved facility management processes
  • Continuously review and evaluate processes to ensure ongoing improvements and efficiencies
  • Collaborate with cross-functional teams to ensure process changes are implemented and maintained effectively
  • Lead and organise process-improvement workshops and training sessions for staff
  • Develop and coordinate process design, including process standards, and operating procedures
  • Manage office-wide projects in the field of facility management, including planning, design and implementation
  • Ensure seamless project delivery with internal stakeholders, including implementation of follow-up processes, communication and reporting as required
  • Contribute to the ongoing development of facility management services resulting from our new ways of working
  • Drive the change management process in facility management services

Apply if you have

  • Profound professional experience in the areas of process optimisation and digital project delivery, ideally with exposure to facility management environments – or with a strong interest in this field
  • A proven track record in business process analysis, improvement and digitalisation
  • Solid knowledge of process improvement methodologies and tools (e.g. Lean, Six Sigma)
  • A sound understanding of building-infrastructure and facility management services
  • Several years’ experience in collaborating with senior management and cross-functional teams
  • Demonstrated success in managing multiple projects, with a focus on optimising workflows and organisational structures
  • Excellent communication skills, with the ability to write clear, structured reports and explain complex topics to different audiences
  • A proactive and solutions-driven mindset, with a strong commitment to continuous learning and personal growth

Our minimum requirements for this post

  • Diploma of completed studies at master's level or – in exceptional cases – equivalent professional experience
  • Generally, an excellent knowledge (at least C1) of one official language (English, French and German) and ability to understand the other two; alternatively, excellent knowledge (at least C1) of at least one official language (in such cases, the willingness to learn the missing language(s) and to reach level B2 within a set time frame would be required)
  • Citizenship of one of the member states of the European Patent Organisation
