Junior HRIS Expert – Document Management System (32-38u)

This is your daily ‘Action’

The Junior HRIS Expert is part of the HR Projects, Processes and System department and reports directly into the Team Lead Business Support. The focus of this role is to provide a consistent and correct working document management solution for all Action countries. You help ensuring that the landscape is stable and continuously improved. Additionally, you can build up your communication and stakeholder management skills. You are working with the IT department, Country HR, HR Administration and the project team. You are will learn to become a front runner for your application.

Next to that you will assist in the roll out of the solution to new countries and you will be part of the project team. Within this you will guide the countries in template changes and testing those changes to ensure a smooth roll out.

Responsibilities:

  • Create template process changes in the system to ensure up-to-date contracts and letters for a correct and smooth HR administration
  • Helps in training HR colleagues to use the solution in the correct way
  • Monitors and reports on changes and incidents within the ticketing system (ServiceNow)
  • Helps coaching/training team members within the team and the users of the application
  • Sets up and applies country specific rulings provided by HR experts and country HR
  • Set up the document management system for letters and contract templates to ensure a smooth, correct and automated HR administration
  • Assisting in projects and system configuration across the complete HR system landscape

Meet your team

Action is expanding rapidly, and this required the HRIS department to respond accordingly. Besides the HR Projects, Processes and System department, Action has an international HR Services department and a ‘center of excellence’ for Recruitment, Compensation & Benefits, Learning & Development and HR Business Partner team. The HR Projects, Processes and System department is a team of approximately 40 people working in teams; HR Projects, HR Processes and, HRIS Development. The HRIS development team is covering the whole HR system landscape for all countries within Action.

This is you

As a HRIS Expert you have a very fine eye for detail and deep understanding of HR systems and interfaces in particular in Kronos. You have the ability to analyse configuration and combine the functional requirements from HR teams with technical specification and provide software solution recommendations. You have a high-level experience in system configuration and stakeholder management across levels and across countries. You are self-driven and you have a very good time- and task management. You are able to prioritize your tasks. You have a remarkable skillset in communication and you are able to translate technical changes for the end user. On top of that you can train people on a new software. Besides that you have experience in UAT testing – writing test cases, concluding tests and coordinate test completion. You got knowledge in rolling out a new system to different countries.

Furthermore you have:

  • A Bachelor's or Master’s degree in Business, Data analytics, HR, Business, Finance, Computer Science, Statistics, Mathematics or related field of study or equivalent work experience.
  • At least 1-2 years of work experience in an HR Admin or HR Systems role, preferably in an international environment
  • An profound understanding of MS Office (e.g.: form letters, merge fields and connectors)
  • Experience with HR cloud solutions - preferably SuccessFactors and UKG - PeopleDoc is an advantage
  • Good communication and intercultural skills
  • Excellent knowledge of English language
  • High logical, analytical and digital thinking
