The Water and Maritime Business Line is looking for a talented, mid-level experienced secretary to support our team!

Do you want to be part of a passionate team? Do you like dynamics in your work, and would you like to contribute to international and socially relevant projects? Then this vacancy is for you!

In this role, you will support two teams within the business unit Resilience & Maritime NL/UK on a 50/50 basis, which are:

  • Resilience & Maritime NL
  • Maritime Economics

You will be based in our convenient head office in Amersfoort and you can also work partially from home!

What you do as an Advisory Group Secretary

As a secretary, you proactively support management and the team with secretarial and administrative tasks. Your main tasks are:

Supporting the two managers of the groups:

  • Proactively supporting the manager of the team by prioritizing, planning and organizing, and coordinating appointments and travel arrangements;
  • Reading and reviewing email correspondence and taking action when appropriate;
  • Providing a result-oriented and professional contribution to the delivery of documents, monitoring deadlines, and performing checks for completeness and authorization.

Supporting the team members

  • Facilitate the managers and team members to perform their work optimally;
  • You will provide help and advice about travel arrangements and visa applications;
  • Working efficiently with the most recent systems and tools. You will offer expert support with regards to questions about software applications and business/project processes.

You independently and decisively initiate, plan, and coordinate agreements:

  • Organizing and coordinating meetings and consultations: you provide the necessary facilities and logistics, you draw up agendas, record decisions and actions, collect and distribute documentation, receive participants and guests, pursue action points and make use of modern meeting, and conference technology;
  • Processing, drafting, sending and archiving external and internal correspondence and project documents: you proactively filter and you prioritize action points;
  • Ensuring consistent and high-quality documents, editing and correcting documents for language and spelling errors and use of the company formats.

Where you will work

You will join a team of 6 secretaries that each support teams within the Resilience & Maritime NL Advisory Group.

The advisory groups ‘Resilience & Maritime Maritime Economics and Operations’ are part of the Business Line Water & Maritime. What you bring

  • Bsc/HBO in the field of secretarial/administrative support
  • Have a good sense for the dynamics in the team
  • Able to communicate in a professional manner with clients and other external partners
  • Able to maintain confidentiality when it comes to sensitive or classified information
  • Having a positive mindset and good collaboration skills
  • Flexible and pro-active way of working
