JOB PURPOSE
As part of our growth strategy, we are looking for a dedicated and knowledgeable Global Process Owner (GPO) Travel & Expenses to oversee the end-to-end process design, build, and implementation during our ERP implementation and mid-term digital procurement strategy. In this critical role, you will lead the transformation from current (“as-is”) to future (“to-be”) state, identifying and driving harmonization and simplification opportunities. You will define, manage, and optimize the company's global T&E processes, ensuring policy compliance, cost-efficiency, and excellent user experience.
KEY RESPONSIBILITIES:
- Global Process Design & Optimization: Define, own, and continuously improve the global T&E and corporate card administration processes, working closely with and for the WPS team.
- Project Management: Own the implementation plan and full project management responsibilities, coordinating with Navan.
- Policy & Governance: Design, with our partner, the systems and processes to enforce global T&E policies as defined by the company, ensuring alignment with company objectives and local regulatory requirements, utilizing tech applications for enhanced compliance.
- System Management: Oversee the T&E management system (Navan), collecting business requirements from WPS, HR, and Tax to create a suitable configuration, user experience, and system enhancements.
- Stakeholder Collaboration: Work closely with Procurement, Finance, HR, Workplace, IT, audit, compliance, and legal teams to align processes and achieve business goals.
- Vendor Management: Support Procurement and WPS in building contractual relationships with travel vendors, such as airlines, hotels, and banks, and leverage procurement expertise to ensure cost-effectiveness and efficient service.
- Performance Monitoring: Design and monitor Key Performance Indicators (KPIs) to measure process effectiveness during and after implementation (i.e., the duration of this role).
- Change Management: Lead global rollout and change management strategies for T&E system implementations and process changes.
- Risk Mitigation & Compliance: Ensure robust controls and audit readiness within the T&E ecosystem to mitigate risks and maintain compliance, and develop robust key reporting indicators (Sustainability) within the tech landscape (Navan).
- Training & Support: Provide end-user training and support to employees on T&E policies and systems during implementation and UAT phase.
- Cutover / Handover to the business: Build a robust cutover plan towards the end of the project to ensure seamless integration into BAU processes embedded within the core functions.
This role will exist in its current form until the end of 2027.
WHAT YOU NEED TO SUCCEED:
- Bachelor’s degree in Business, Finance/Tax, Information Technology, Supply Chain Management or a related field
- Proven experience in designing future state Expense models, understanding interim state requirements and local customizations
- Proven experience with SAP systems specific to procurement, preferably in the context of SAP S4/HANA and T&E applications
- Strong understanding of the Source to Pay process and procurement best practices
- Broad understanding of procurement processes
- Strong track record of driving change and innovation, with the ability to think outside the box and embrace an agile and growth mindset
- Excellent communication and interpersonal skills, with the ability to collaborate, influence, and engage effectively with diverse stakeholders across business and technical functions to achieve project milestones
- Strong analytical and problem-solving skills, detail-oriented, with the ability to translate business requirements into practical data solutions and drive results in a fast-paced, dynamic environment
- Excellent proficiency in written and verbal communication in English, with the ability to articulate complex ideas clearly and concisely to diverse stakeholders
- Proficiency in Microsoft Office solutions, including SharePoint, Teams, Excel, and PowerPoint
- Familiarity with regulatory requirements and compliance standards related to procurement
- Result-oriented with a strong focus on delivering high-quality outcomes
- Proactive and adaptable, with the ability to manage multiple priorities in a fast-paced environment
- Ability to travel globally to support market-specific requirements during design, build, and deployment of the project
