Your responsibilities as Executive Assistant at Highberg
You are the organizational anchor of Highberg’s Executive Board and Management Team; you ensure clarity, preparation, and follow-up in everything we do. You coordinate meetings, projects, and communication within our entities and help the leadership team stay focused, aligned, and effective.
Executive and Board Support
- Manage and coordinate all Executive- and Board-related activities, including scheduling, materials, and documentation.
- Follow up on action items and decisions and ensure timely follow-up and accountability.
- Prepare and organize management meetings and strategic sessions.
- Ensure that the Executive Board is well-prepared for important meetings, events, and presentations.
Project and Process Coordination
- Support cross-functional initiatives and strategic projects and monitor structure, timelines, and progress.
- Create clarity and alignment between stakeholders in a fast-growing, multi-entity environment.
- Contribute to continuous improvement of executive workflows, communication, and governance processes.
Communication and Relationship Management
- Serve as a trusted point of contact between the Executive Board and internal/external stakeholders.
- Ensure clear, timely, and professional communication within the organization.
- Build strong working relationships based on trust, empathy, and a positive attitude.
Operational Organization
- Provide general organizational support to the Executive Board, including light travel and logistical tasks where needed.
- Handle confidential information professionally and discreetly.

What we are looking for
- Several years of experience as an Executive Assistant, Management Assistant, or Project Coordinator at the executive level;
- Strong organizational and communication skills, with the ability to manage multiple priorities in a dynamic environment;
- Experience coordinating leadership meetings, preparing materials, and ensuring structured follow-up;
- Proactive, hands-on, and reliable – you see what needs to be done and make sure it happens;
- Professional maturity combined with a friendly, energetic, and approachable personality;
- Fluent in English and Dutch. German is a plus.
