The role: Executive Assistant

The Executive Assistant will be covering a 9-month maternity leave. This is a dynamic and exciting role providing opportunity to grow beyond the standard EA / PA responsibilities. You will be the right hand to the C.O.O. managing their daily agenda, email, admin and travel. You will also be required to assist with more complex tasks such as gathering and analysing information from cross-functional teams, assisting to prepare overviews and PowerPoint presentations for key meetings and arranging complicated travel for larger groups.

Your typical day includes:

  • Email inbox management; manage the inbox of the C.O.O. Email filing, pre-reading and filtering important communications, when appropriate responding on behalf of the C.O.O.
  • Calendar management; Coordinate daily agenda, monthly executive meetings and quarterly board meetings.
  • Prepare and coordinate meetings & functional deadlines including assisting in gathering & analysing information from functional teams and creating PowerPoint decks and summaries in excel.
  • Making complex travel arrangements from A to Z for the C.O.O and the Design & Production Director and regular seasonal group trips.
  • Manage end-to-end the travel budgets ensuring accurate input from function heads on each teams travel plans and highlight variances to the approved budget to C.O.O and finance.
  • Manage teams expenses; Review and approve teams expenses ensuring adherence to company policy.

About you:

  • A self-starter with 3-5+ years of experience as an Executive Assistant.
  • Flexibility and ability to quickly shift and work on priorities.
  • A proactive and entrepreneurial mindset - you are hands-on and always thinking one step ahead.
  • Strong planning, organizational and admin skills, eye for details, precision, and most of all: a quality-driven, service-minded attitude - you are someone who finds the way to get things done in a timely manner and with quality.
  • Ability to work together with a diverse group of people in a fast-paced, energetic environment.
  • Excellent communicator and relationship builder. Fluent in English. Dutch is a plus.
  • Technical skills: Highly skilled in Outlook, Intermediate level Excel & PowerPoint.
