Executive Assistant

Flow Traders is seeking a highly capable and proactive Executive Assistant to support the Chief Financial Officer (CFO) at our Amsterdam HQ. In this pivotal role, you will provide high-level administrative and strategic support directly to the CFO, ensuring the seamless management of the CFO’s day-to-day activities and enabling them to focus on critical financial priorities and strategic decision-making at a global level.

You will work alongside our CEO’s EA and will be a trusted partner, managing complex schedules, coordinating cross-border communications, and anticipating needs before they arise. What you will do

• Provide comprehensive, confidential support to the CFO while also assisting the broader Management Board as needed. Manage dynamic calendars, communications, and travel arrangements across multiple time zones
• Serve as the primary liaison between the CFO, the Management Board, internal teams, and external stakeholders, ensuring professional and seamless communication
• Anticipate operational needs and proactively identify solutions to ensure efficiency and uninterrupted workflow
• Prepare meeting materials, pre-reads, presentations, and agendas to ensure the CFO is fully informed and ready for all engagements
• Handle sensitive and confidential information with discretion and professionalism
• Process expenses, invoices, and approvals accurately and promptly
• Provide responsive support outside standard hours when necessary, reflecting the global and time-sensitive nature of trading
• Support the organization of board meetings, offsites, and strategic projects in collaboration with the Corporate Secretary
• Build strong relationships across the Amsterdam and international offices to ensure alignment with Management Board priorities
• Facilitate effective communication and collaboration between departments, stakeholders, and external partners
• Assist with cross-functional projects and initiatives led by the Management Board

What you need to succeed

• Proven experience supporting C-suite or Management Board executives, ideally within financial services, trading, or technology-driven organizations.
• Exceptional organizational and prioritization skills, with the ability to manage multiple complex tasks under pressure.
• Excellent written and verbal communication skills in English; additional languages are a plus.
• High level of discretion, integrity, and professionalism in handling confidential information.
• Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms (Teams, SharePoint).
• Proactive, adaptable, and able to anticipate needs and take initiative independently.
• Comfortable working in a fast-paced, international, and high-performance environment.
• Team-oriented mindset with a ‘roll-up-your-sleeves’ attitude.
