Role and Responsibilities

As a Sales Operations Specialist, you will be an integral part of the Operations team within our Revenue Operations (RevOps) department, reporting directly to Leonard, the VP of RevOps.

Your key responsibilities are:

  • Assisting the sales team with queries, ensuring they have accurate information to close deals and bill contracts;
  • Managing vendor registration and supporting the Purchase Order process;
  • Ensuring accurate data flow in Hubspot for our B2C business, maintaining and enriching datasets for better reporting;
  • Generating daily/weekly sales performance reports such as pipeline summaries, team performance, and revenue forecasts.

On a typical day:

On a typical Monday morning, you begin your day with a quick daily check-in with the Sales team to address any immediate roadblocks or pressing issues. After coming into the office around 9:00 AM, you review the pipeline and spot an important deal delayed due to a missing document for a client, so you prioritize resolving that. You also discuss potential license changes for a client who needs an upgrade, ensuring the necessary adjustments are planned for the day.

After the check-in, you dive straight into HubSpot to perform your daily CRM data review. You ensure all opportunities are correctly tagged, sales stages are updated, and any incomplete or inaccurate records are cleaned up. This step is crucial for maintaining a reliable pipeline and ensuring the Sales team can trust the data to push deals forward. You also handle any requests for B2B license management, such as activating new licenses, downgrading seats, upgrading access, or revoking unused licenses.

After a delicious lunch with colleagues prepared by our in-house chef, Rik, you spend time managing vendor registrations and handling Purchase Order documentation. You gather the necessary documents—NDAs, contracts, tax information—and submit them through the correct channels. This keeps the sales flow uninterrupted and ensures contracts move forward immediately.

As the afternoon progresses, you look closely at the deal's progression through the sales cycle. Some deals hit bottlenecks at the proposal stage, so you analyze these trends and brainstorm solutions to eliminate these blocks. You then switch focus to one of your ongoing projects: optimizing the reporting process within HubSpot, making it easier for Account Executives to generate real-time data reports without relying on manual inputs.

By the end of the day, you've tackled the immediate roadblocks, improved CRM data accuracy, and processed requests for license upgrades and cancellations. Tomorrow, you’ll dive deeper into pipeline analysis, helping the Sales team resolve any lingering issues and preparing for the end-of-week wrap-up with RevOps. By Friday, you'll present insights on deal flow and pipeline health, followed by a well-earned drink with the team to close out the week.

Who you are

We’re looking for someone autonomous, structured, highly detail-oriented, and proactive with great stakeholder management skills. You’ll be a great fit for this job if:

  • You have some experience working in a Sales operations or Sales Support role, preferably in a B2C/B2B environment;
  • You are highly detail-oriented and have a strong understanding of CRM tools (Hubspot is a plus);
  • You have an analytical mind and love to dive into the details of sales performance;
  • A big plus is if you are familiar with the winning by-design methodology;
  • You thrive in a fast-paced environment and are not afraid to take ownership of your tasks;
  • You have strong (English) communication skills and are comfortable working with cross-functional teams;
  • You are able to work from our office in Rotterdam for faster onboarding and coordination.
