Job Summary

As an IT Portfolio Specialist at Samskip, you will play a crucial role in managing our IT Portfolio and supporting IT Managers with project planning and operational methodologies. Your contributions will extend to various divisions within the business, aiding in the execution of their programs and projects. You will be part of a dynamic team that interacts with IT departments across different countries, including The Netherlands, Iceland, and Romania.

Key Responsibilities

IT Portfolio & Capacity Management

Project and Business Deliverables:

  • Report on the progress of programs, projects, and business deliverables.
  • Create and manage IT Portfolio reports.
  • Coordinate dependencies between multiple teams.
  • Ensure work packages are completed on time and within scope.
  • Support and consult with Program and Project leads.
  • Participate in project meetings, providing insights and updates on progress.

Resource Capacity:

Check the availability of team members, manage annual and sick leave, and adjust planning as necessary.

General:

  • Maintain the IT Service portal, including IT instruction videos and documentation.
  • Communicate outages or other IT-related disruptions.
  • Oversee the IT-related training hub.

Support for IT Departments:

  • Assist IT Managers with administrative tasks and project coordination.
  • Support IT teams during the sprint planning process.
  • Challenge existing workflows and implement necessary improvements.
  • Advise team members on effective working methods to enhance productivity and project success.
  • Act as a communication hub between teams and stakeholders, ensuring clarity and alignment on project goals.
  • Manage SharePoint pages and other collaboration platforms to ensure smooth information flow and accessibility.
  • Plan and organize team meetings.

Role Dynamics

  • Work with various IT Teams, Program, and Project Managers, making the job dynamic and engaging.
  • Contribute to the IT Portfolio Management initiative, which began a year ago and is being implemented across all IT-related teams within the company.
  • Your input, ideas, and contributions will be vital to our success.

Working Environment

Samskip’s IT department spans multiple countries, including The Netherlands, Iceland, and Romania. Our IT team members contribute in various ways, from workspace-related tasks and delivering BI reports to maintaining our TMS systems, integrating with customers and suppliers, and maintaining our custom-built ERP system.
