In this role, you will be the caring face of the Berlin office, the remote guardian of the Munich hub, and the strategic architect for international locations from London to Dubai. You will balance team events and workplace experience with real estate contracts, safety, and security responsibilities to ensure every Malter has a great place to work.

Key responsibilities ✨

1. The Berlin & Munich Heart (Local Excellence)

• The Friendly Welcome: You’ll ensure a warm, supportive atmosphere for the team and guests in Berlin, organizing meetings and events with a creative touch.
• Office Operations: You’ll reliably handle the smooth processing of daily tasks, from mail and supplies to kitchen equipment, ensuring everything stays on budget.
• Security & Safety: As Health & Safety coordinator, you’ll manage access cards, lead reviews, and ensure full compliance with regulations.
• Onboarding Joy: In partnership with HR, you’ll give new team members a great first day with office tours and welcome packages.

2. The International Architect (Global Governance)

• Real Estate & Contract Mastery: You’ll lead the workplace mandate across the company footprint, managing relationships with property managers, landlords, and sub-tenants.
• Remote Partnership: You’ll support international sites remotely, collaborating closely with local HR stakeholders to solve facility challenges where no local office manager exists.
• Strategic Procurement: You will negotiate contracts with global and local suppliers, from maintenance to insurance, monitoring their execution to ensure high standards everywhere.
• Cultural Bridge: You’ll capture the best of local events and share them with the international team, helping maintain a consistent culture across borders.

About you 🧑‍🚀

• Contract & Operations Savvy: You have 2+ years of experience in administration or operations and feel comfortable navigating facility and real estate contracts.
• Caring & Creative: You have a natural sense of service and love communicating with different people to get things done cooperatively.
• Structured & Organized: You have a hands-on problem-solving mindset and an eye for detail that keeps everything running like clockwork.
• Technical Facilities Management: You are skilled in overseeing the operation and maintenance of building infrastructure while maximizing the efficiency of physical spaces.
• Budgetary Discipline: You are experienced in planning and controlling financial resources to ensure operations stay within budgetary constraints.
• Bilingual Pro: You communicate fluently in both German and English.
