In this role as a Management Support Officer, you will provide high-impact operational support to the Managing Director & Marketing Lead and the Bayer Medical Care Leadership team. You are responsible for end-to-end administrative and organizational support, ensuring cross-functional alignment, driving operational excellence, and enabling smooth adoption of new processes and ways of working. By enabling seamless communication and coordination, you help accelerate Bayer Medical Care B.V.’s transformation agenda and free leaders to focus on strategic decision-making.
Tasks and responsibilities
- Management support: Prepare summaries, reports, and presentations on behalf of the Managing Director and leadership team to keep meetings focused on priorities and enable efficient decision making.
- Event & visitor management: Manage the Centre of Excellence and coordinate visiting transversal/cross functional teams throughout the year, handling venue logistics, catering, materials, and on site operational arrangements.
- Project coordination: Coordinate cross functional initiatives and events, facilitate collaboration across teams and regions, and follow up to ensure timely delivery.
- Cost & budget management: Oversee marketing P&I (promotional & incentive) administration and monitor related spend; process invoices, track expenditure against budgets, and support cost control activities.
- Process & system management: Execute mandatory Bayer processes such as contract management, purchase requests, and order processing; submit requests, create management overviews, troubleshoot and resolve errors, and update records.
- Systems support & escalation: Serve as first point of contact for questions about enterprise systems, provide user guidance, escalate technical issues, and liaise with system owners to ensure timely resolution.
- Schedule management: Coordinate calendars, appointments, and travel for the Managing Director and other leaders; proactively advise on priorities, resolve scheduling conflicts, and recommend solutions to optimize time.
- Governance & compliance: Maintain accurate records, ensure compliance with internal policies and approval workflows, and support audits or ad hoc governance requests.
- Perform additional administrative and project tasks as required to support leadership and organizational priorities.

Who you are
- Bachelor-level working and thinking skills with more than 8 years relevant experience.
- Proven experience as an Executive Assistant in healthcare, life sciences, or multinational/matrixed organizations, supporting senior leaders.
- Strong organizational skills and excellent written and verbal communication; able to prepare clear briefings, reports and presentations.
- Clear customer focus, anticipates stakeholder needs and delivers responsive, service oriented support.
- Maintains confidentiality and professionalism; handles sensitive information with discretion and integrity.
- Experience working with multiple AI tools.
- Proficiency in Microsoft Office and collaboration platforms.
- Ability to manage multiple priorities in a dynamic environment, adapt to changing demands, and meet tight deadlines.
- Champions VACC and DSO behaviours, aligning actions and decisions with the organisation’s expected conduct and values.
- Fluent in Dutch and English; additional languages are an advantage.
- Proactive, resourceful and willing to take on new initiatives to improve processes and support leadership effectively.
