You will join the People Tech team, a close-knit group of 10 professionals. Together, the team focuses on driving impactful HR technology initiatives, collaborating across business and technical areas, and continuously improving the employee experience through innovative solutions. You’ll be part of a dynamic, supportive environment where everyone contributes to making a real difference for the organization.

You Are All About

We are looking for a Senior Business Analyst to join our dynamic team. In this role, you will be responsible for analysing business requirements, defining solutions, and ensuring the seamless implementation of HR technology, mostly focused on Workday and specifically Workday integrations. You will work closely with both business and technical teams to ensure that our HR systems are aligned with Rituals' objectives, while continuously identifying opportunities for process and integration improvements and optimizations. Your ability to translate business needs into clear, actionable insights will be key to driving successful outcomes. You will be involved throughout the entire project lifecycle, from gathering business requirements and documenting them, to supporting the testing and implementation phases. Creative problem-solving, excellent communication, and a keen attention to detail are essential for success in this role. As we continuously evolve, you will help ensure that we maintain a clear vision and focus on delivering solutions that make a difference for the business.

Key Responsibilities

  • Business Analysis:

    • Requirements Gathering: Collaborate with different stakeholders (HR, IT, Payroll, etc.) to gather and document detailed business requirements for HR tech systems, with a focus on Workday and integrations.
    • Process Optimization: Analyse existing business processes and systems, identify opportunities for improvement, and define solutions that increase efficiency and effectiveness while considering the impact on integrations.
    • Solution Design: Work closely with technical teams and vendors to translate business needs into clear, actionable functional specifications. Accurately define complex issues despite incomplete or ambiguous information, addressing the most important elements.
    • Stakeholder Communication: Act as the primary point of contact for all integrations related topics for business stakeholders, ensuring that their needs are communicated effectively to technical teams and that they are kept informed throughout the project lifecycle. Advise and convince departments, vendors, and other external parties about possible solutions, being recognized as an expert within the area of expertise.
    • Testing Support: Coordinate the unit- and User Acceptance testing of solutions to ensure that they meet business requirements, functionality, and quality standards.
    • Problem Resolution: Quickly resolve process breakdowns to ensure minimal disruption in workflow and take proactive steps to prevent recurrence.
    • Integration Monitoring: Monitor the performance of approximately 30 (payroll) outbound Workday integrations, identifying areas of improvement and collaborate with the teams of the downstream systems to implement improvements.
    • Data-Driven Insights: Develop and utilize Workday reports to validate integration output.
    • Expert Consultation: Leverage insights and guidance from our AMS partner on specialized topics to ensure alignment with industry best practices and expert solutions.
  • Project Support:

    • Documentation: Support project planning and execution by maintaining clear documentation, including requirements, user stories, and acceptance criteria within Jira and Confluence.
    • Risk & Issue Management: Proactively identify risks or issues that could affect project outcomes, helping to mitigate them early in the process.
    • Cross-Functional Collaboration: Facilitate communication between business and technology teams, ensuring that both sides understand and align on requirements, progress, and timelines. Determine effective ways to maximize coordination and strengthen alignment between own activities and those of others.
    • Coordinate Subprojects: Proactively take the lead in the planning and execution of subprojects and your own projects, ensuring timelines and resources are aligned. Foresee and resolve potential bottlenecks and delays, determining successful ways to ensure rapid progress.

  • 4 years of experience with HR applications, preferably implementation or design optimization with Workday.
  • Experience with Workday integration tooling.
  • Project management skills.
  • A bachelor's degree in a relevant field (e.g., HR, Business, Project Management).
  • Excellent communication skills to bridge the gap between business requirements and technological solutions.
  • Demonstrated ability to apply creative problem solving and collaboration skills to mitigate or overcome project blockers.
  • Data-driven with excellent analytical skills.
  • Ability to thrive in an international, dynamic environment where English is often the language of choice.
  • Curiosity and a desire to understand how things work.
