Event Coordination Opportunity at SparkOptimus

Location: Amsterdam (Hybrid)
Commitment: 2-3 days per week with flexibility to join events

Contract: working student
Duration: 6 months–1 year (ideally 1 year)

About the Role

As a Working Student in Event Coordination at SparkOptimus, you will own the end-to-end coordination of our commercial events, both virtual webinars and in-house gatherings. You’ll guide internal and external stakeholders through the entire event lifecycle, from initial planning to post-event follow-up. You’ll receive guidance and work closely with our Marketing team to align events with broader campaigns and commercial goals. This is a hands-on role, ideally suited to a master’s student or final-year bachelor student with some event experience and a keen interest in consulting.

What You’ll Do

  • Partner collaboration & scheduling

    • Coordinate calendars and prepare detailed event timelines together with the marketing lead and partners
  • Communications & invitations

    • Draft, schedule, and send multi-channel invitations (email, LinkedIn, etc.)
    • Create clear, on-brand communication templates
  • Attendee management & targeting

    • Build and maintain target lists: identify and research potential invitees
    • Monitor registrations and engagement metrics in real time
  • Logistics & venue setup

    • Arrange all virtual-event logistics (platform setup, links, rehearse run-throughs)
    • Coordinate in-house event logistics (room layout, A/V equipment, catering flows)
    • Ensure the physical space is prepared (signage, seating, branding, and tech checks)
  • Event process ownership

    • Serve as the single point of contact for partners throughout the event journey
  • Data & continuous improvement

    • Capture attendance data, feedback, and key performance indicators
    • Present insights and recommendations to optimize future events

What We’re Looking For

  • Academic background: Enrolled in a Master’s program or final-year Bachelor’s degree
  • Event experience preferred: e.g., 1-2 internships or committees
  • Skill set & attributes:
    • Strong organizational skills and attention to detail
    • Proactive, solution-oriented mindset
    • Excellent written and verbal Dutch & English communication
    • Interest in consulting and business strategy
  • Availability & logistics:
    • 2-3 days per week, with flexibility to join events - (in hybrid) from our Amsterdam office
    • Commitment of at least 6 months, ideally 12 months
