Your role:

We are in business to save our home planet. As the interim Office Manager, you will contribute by being responsible for the Amsterdam office management and operations, providing the best on-site employee experience and fostering a vibrant culture. This role will specifically focus on overseeing office facilities, coordinating events and projects.

Main tasks:

  • Manage, support, and coach the Office Coordinator.
  • Proactively manage all the office operations to ensure a well-organized, tidy, clean, and safe working environment, from opening/closing of office, catering, cleaning, facilities issues etc.
  • Manage the office budget, allocating it to the right expenses and ensuring responsible spending.
  • Actively support the office renovation project by being the liaison between the project and the Office and P+C team on communication, decision, facility management, administrative and employee support, working to ensure all aspects of the project are executed and delivered according to plan.
  • Manage office communications in partnership with Internal Communication.
  • Support organization of internal events by arranging any required audience, communication, catering setup, and any other services needed, within budget and in collaboration with Internal Communication and IT.
  • Actively participate in the planning, coordination, and execution of major events with the Events Committee, such as the Summer Event, the Sinterklaas event, and the End of Year party.
  • Monitor, anticipate, and respond to health & safety needs, implementing necessary procedures to ensure compliance.
  • Be the point of contact for and partner with the landlord and office building tenants on any facilities, health and safety, and infrastructures needs.
  • Monitor, anticipate, and respond to the security needs of the office, being the security company’s point of contact.
  • Engage coordinate employee groups (sports, events) and support them in managing budget.
  • Ensure administrative and clerical tasks are taken care of by Office Coordinator.
  • Cover office reception services on ad-hoc basis.
  • Collaborate with the Executive Assistant and Finance team to optimize the travel policy, enhance collaboration with travel agency and oversee employee travel and carbon footprint tracking.

  • Minimum 3 years of work experience as Office Manager.
  • Professional proficiency in Dutch and English.
  • Strong organizational skills, including the ability to manage multiple priorities simultaneously while keeping attention to details.
  • Proactive and efficiency-driven approach to problem-solving, with decision-making capability.
  • Entrepreneurial and service-oriented mindset, with care for people’s experience.
  • Strong communication (verbal and written) and collaboration skills.
  • Experience organizing internal events.
  • Experience in project management, preferably in office redesign or expansion.
  • Proficient with Microsoft Office (Outlook, Word, Excel, and Power Point).

It's a plus if you have also the following:

  • Experience with travel management
  • Experience in people management is a plus.

Other important details:

  • This is a full time position, based in Amsterdam intended to support the team for 7 months.
  • We have a hybrid work model, working from home for maximum 1 day per week.
