Personal Assistant for Tech Strategy & Enterprise Architecture

We are looking for a highly professional and proactive Personal Assistant who thrives in a dynamic, senior-stakeholder environment. In this role, you will be the trusted right hand of the Global Head of Tech Strategy & Enterprise Architecture (TS&EA). The Team

You will be part of TS&EA and work closely with the Head of TS&EA and his leadership team. You collaborate with other Personal Assistants across the CTO organisation, forming a strong functional PA community where best practices and knowledge are shared.

The opportunity

The Personal Assistant is responsible for providing comprehensive secretarial support to the Head of TS&EA, who is part of the management team of the Chief Technology Officer for ING. Managing a complex agenda within a demanding environment, the Personal Assistant will be responsible for making sure that the Global Head TS&EA is prepared in a variety of day-to-day activities.

Roles and responsibilities

  • Proactively manage complex and dynamic calendars and forward planning
  • Assess priority, sensitivity and purpose of meetings, travel requests and day-to-day activities
  • Organise and coordinate internal and external meetings, leadership sessions, and high level events (including materials and follow-up actions)
  • Act as a key point of contact for senior internal and external stakeholders, representing TS&EA and ING in a professional and confident manner
  • Ensure the Head of TS&EA is thoroughly prepared for meetings, presentations and engagements, including briefing notes and document management
  • Draft correspondence, presentations and communications on behalf of the Head of TS&EA
  • Support administrative processes such as onboarding, role changes, approvals and expense management, iBuy and E-profit in accordance with existing compliance rules
  • Manage confidential information, documents and data with the highest level of discretion
  • Support special projects and strategic initiatives from preparation through execution
  • Process information and conversations efficiently and use digital tools (including AI where applicable) to create overviews, summaries and initial analyses
  • Coordinate with internal departments and external parties to ensure smooth execution of priorities and commitments
  • Forming part of the larger Personal Assistant community, it will be expected to align ways of working with fellow personal assistants

We are looking for the following knowledge and experience:

  • 5+ years of demonstrable work experience in a management support position
  • Excellent organizational skills, with the ability to manage multiple tasks and priorities simultaneously
  • Proven ability to handle confidential information with integrity and discretion
  • Analytical mindset with a proactive approach to problem solving and decision making
  • Flexible and adaptable to changing priorities and environments, with a positive approach to challenges
  • Creative and resourceful in finding solutions and overcoming obstacles
  • Ability to work effectively independently and as part of a team, fostering positive working relationships
  • Excellent time management skills, with the ability to prioritise tasks and meet deadlines efficiently
  • You master the commonly used MS 365 and are willing to learn new tools when needed
  • Excellent written and verbal communication skills in Dutch and English
  • Ability to work independently and as part of a team in a complex international and dynamic environment
