The Challenge

What does the role involve?

As a Management Assistant, you will work for several senior leadership team members in Europe and Developing Markets. You are the linchpin in the daily support of our leaders, ensuring they make the most of their time and are always well-prepared. From managing complex calendars to organizing international travel and preparing key documents, you handle it all with flair, discretion, and precision.

Your Key Responsibilities

  • Organization & Planning
    • Manage complex, international calendars and daily rescheduling
    • Organize multi-destination travel including visas, accommodation, and travel packs
    • Prepare meetings with relevant documents and briefing materials
  • Communication & Coordination
    • Act as the first point of contact for internal and external stakeholders
    • Draft communications and presentations on behalf of the executives
    • Schedule and coordinate recurring meetings such as 1:1s and leadership sessions
  • Administration & Support
    • Process invoices, expenses, and credit card statements
    • Maintain document management and filing systems
    • Screen calls and requests, handling them independently where appropriate
  • Relationship Management
    • Proactively build strong relationships with internal stakeholders and external partners
    • Ensure a professional and welcoming experience for visitors
    • Work closely together with the Executive Assistant and the other Management Assistant

What do you bring?

  • Experience working for multiple Directors or Senior Managers
  • Excellent command of MS Office (Excel, Word, PowerPoint)
  • Experience with complex travel booking and Visa processes
  • Strong organizational and communication skills
  • Flexible, stress-resistant, and solution-oriented
  • Proven ability to manage multiple priorities under pressure
  • Discrete and professional in handling confidential information
  • Experience in working in an international environment
  • Fluent in Dutch and English
  • Full-time available
