About the Role

As Assistant Operations Manager, you’ll support our day-to-day operations across multiple countries — especially in Germany, the UK, and Southern Europe. Your work will cover a range of projects, from retail site decommissioning and waste logistics coordination to vendor follow-up, permit tracking, and administrative support. You’ll collaborate and report to our Head of Operations to ensure projects are delivered smoothly, on time, and on budget.

ResponsibilitiesProject & Operational Support

  • Coordinate store closures, waste pickups, and logistics across Germany and the UK
  • Liaise with local vendors for dismantling, cleaning, and container delivery
  • Support permit processes and ensure compliance per country/region
  • Maintain timelines, checklists, and track project advancement through Monday.com and shared folder

Communication & Coordination

  • Proactively communicate and align with landlords, vendors, and store teams for on-time project closure
  • Prepare brief project summaries and cost updates for the internal team
  • Coordinate with Head of Operations to track active projects

Administration & System Management

  • Maintain accurate project records using platforms such as Monday.com and shared cloud folders
  • Input and structure key data points, including project scope, costs, vendor contacts, and deadlines
  • Upload and manage required documentation — such as waste transfer notes, weight tickets, permits, and vendor invoices
  • Track completion of tasks and country-specific compliance requirements
  • Generate weekly operational dashboards and reports for internal use and client transparency
  • Help improve internal workflows and documentation consistency across projects
  • Use client-facing portals such as FEXA to submit and update service jobs, upload documentation, and track work orders for retail site decommissioning and waste services
  • Ensure clear communication and documentation flow between Mind Your Waste and retailer systems

What We’re Looking For

  • 1–3 years of experience in logistics, operations, or project coordination
  • Fluent in German (spoken + written) — mandatory
  • Strong communication in English (spoken + written); any other language skills is a plus
  • Highly organized, detail-oriented, and solution-driven
  • Strong sense of ownership and with a “get things done” mentality
  • Comfortable working across multiple projects and countries
  • Experience with project tools like Monday.com or similar digital platforms (training can be provided). Interest in automation or AI-driven tools is a plus.
