What You'll Do

Payroll

  • Process the end-to-end monthly Dutch payroll workflow, coordinating with external payroll provider(s) and internal stakeholders.
  • Handle starter and leaver processes (including global transfers), contract changes and master data maintenance.
  • Process salary increases, promotions, back pay, corrections and final settlements.
  • Administer statutory and company leave processes impacting payroll (e.g., sickness reporting, parental leave, unpaid leave).
  • Process bonuses and variable payments through payroll; ensure correct taxation and social insurance treatment.
  • Handle recurring allowances and expenses with payroll impact (e.g., commuting, home working, taxable reimbursements) in line with policy.
  • Review and support validating net salary payment files before release; ensure segregation of duties and documented approvals.
  • Review 30% ruling (expat ruling) process in payroll, and partner with our external provider in the application.
  • Advise employees and stakeholders on payroll, wage tax (loonheffingen), social insurance and pension-related queries.
  • Reconcile payroll outputs with HR system data monthly to ensure data integrity (e.g., bank details, personal data updates, benefit deductions).
  • Support hub payroll processing by providing cover, peer review and cross-country payroll support during peak periods and absences.
  • Support year-end activities (e.g., annual wage statements/jaaropgave, reporting reconciliations, and local statutory filings as applicable).

Benefits

  • Process payroll-related benefits and taxable benefits in kind reporting (e.g., company cars, allowances, other taxable benefits as applicable).
  • Coordinate pension contribution payments and liaise with pension advisor(s)/provider(s) for payroll-related inputs and controls. Experience with UPA is a plus.
  • Support annual employer reporting and periodic payments related to benefits/insurances (as applicable to local arrangements).
  • Support and guide benefits team with benefits reconciliation to ensure data accuracy in payroll.

Mobility

  • Work closely with Mobility and Tax teams on transfers and secondments impacting Dutch payroll, wage tax and social security.
  • Coordinate with external tax advisors to provide payroll data needed for mobility-supported tax filings and year-end reporting.
  • Support payroll implementation of mobility-related items (e.g., shadow payroll inputs, taxable benefits, tax equalization/gross-ups where applicable).
  • Support compliance activities linked to cross-border staffing where payroll inputs are required (e.g., A1 documentation inputs, required notifications).

Other responsibilities (but not limited to)

  • Be an active discussion and thought partner with the Benefits, HR and Mobility teams to continuously improve payroll-related processes and employee experience.
  • Work with external advisors (payroll, tax, pensions) on processes, payments and data collation, ensuring clear documentation and controls.
  • Provide support during internal and external audits (payroll, tax and accounting) and respond to information requests accurately and timely.
  • Continuously seek process improvements, automation opportunities and best-practice sharing across the hub.
  • Provide cover for other team members during absences and support ad hoc projects as required.
  • Ensure ongoing compliance with Finance minimum standards and local regulatory requirements within scope.

Additional scope

  • Support as Dutch payroll subject matter expert (SME) for the hub and support escalation handling, complex case resolution and stakeholder guidance.
  • Drive and suggest payroll process improvements and controls enhancements; document procedures and cross-train team members.
  • Support testing, implementation and optimization of payroll/HRIS changes (e.g., new earnings/deductions, reporting, system upgrades).

What You'll Bring

  • Strong experience in Dutch payroll regulations and practice (wage tax/loonheffingen, social insurance and pension concepts). PDL is required, VPS is a plus.
  • Experience with monthly payroll processing in a structured, compliance-driven environment (professional services experience is desirable).
  • Experience owning multiple tasks and processes with strict legislative deadlines and robust controls.
  • Experience using (and thoughtfully incorporating) GenAI tools to streamline payroll processes.
  • Strong technical aptitude and proficiency in MS Office (especially Excel) and payroll (ADP Celergo)/HR systems (WorkDay).
  • Strong communication and stakeholder management skills; comfortable working with external providers and advisors.
  • Fluent written and spoken English. Dutch language proficiency is strongly preferred.
  • Experience working in a busy team environment; willingness to support multiple countries within a regional hub.
  • Experience supporting the setup and maintenance of integrations between payroll, HR, benefits and accounting tools.
