Warehouse Management Admin

A Day in the Life

As a Warehouse Management Admin, you will play a key role in supporting overall warehouse operations by providing accurate administrative, operational, and analytical support for inventory management. You will be responsible for maintaining inventory accuracy, monitoring and acting on Non-Conform stock, managing Service Improvement Requests (SIR’s) and Opportunities for Improvement (OFI’s), and investigating stock discrepancies through detailed, systematic analysis.

Your role will also include maintaining master data, managing the ABC warehouse layout, and performing analyses on operational deviations to identify root causes and implement preventive actions. Working under moderate supervision, you will collaborate with internal teams to ensure data accuracy, support smooth daily operations, and drive continuous process improvements that enhance warehouse efficiency and customer satisfaction.

Responsibilities may include the following and other duties may be assigned:

  • Provide administrative and operational support for accurate inventory records.
  • Maintain the material and batch master data within warehouse systems.
  • Organize warehouse locations and layout based on inventory in/out flow.
  • Handle all transfer bins, including delivery bins, report discrepancies to the responsible department, and ensure timely clean-up.
  • Perform ABC extractions and maintain location accuracy.
  • Monitor and manage non-conformities, act on aging stock, and ensure discrepancies are reported.
  • Release Non-Conform Return to Vendor and Demo shipments, managing and resolving issues reported by operators during picking and packing.
  • Investigate stock discrepancies and conduct root cause analysis to implement corrective actions.
  • Manage SIR’s and OFI’s through systematic inventory investigations and physical checks.
  • Analyse deviations, take appropriate actions, and keep your supervisor informed.
  • Oversee WM mailboxes and respond promptly to inventory inquiries.
  • Communicate with external teams to resolve issues and support operations.
  • Contribute to onboarding and development of new or junior staff.
  • Support continuous process improvements.

Required Knowledge and Experience:

  • Minimum of 2 years of experience in warehouse administration or inventory management.
  • Strong knowledge of warehouse management systems (preferably SAP) and inventory control processes.
  • Skilled in investigating inventory discrepancies and performing root cause analysis.
  • Advanced Excel skills for data-driven reports.
  • Good organizational and communication skills, with proven ability to work effectively in a team.
  • Able to work under pressure, manage time efficiently, and prioritize multiple tasks and targets in a dynamic workload.
  • Capable of working independently with moderate supervision.
  • Highly motivated, energetic, and ready to tackle challenges with a positive mindset.
  • Open-minded with a collaborative and solution-oriented approach.
