Job Summary

The primary responsibility of the CRE Vendor Manager is to develop and maintain vendor management governance, policy, tools and standards to enable effective and efficient vendor management in CRE (Corporate Real Estate). The CRE Vendor Manager will be the main interface between Equinix CRE and the vendors supporting CRE and manage vendor relationships with the top 20 vendors.

This role is based in the Warsaw, Amsterdam, or Bangalore office. There will be daily contact with the AMER operations team.

Responsibilities

Opportunity Development

  • Collect, sort, categorize, aggregate, and identify patterns and differentiating attributes of office spend across functions to influence resourcing decisions and drive economies of scale.
  • Analyze scope and service provision to standardize service delivery and customer experience.
  • Collate across geographies or categories to deliver savings, improved terms, fewer vendors, and higher quality products and services.

Policy, Compliance and Risk Management

  • Support the development and maintenance of standard Vendor Management operating policies and procedures, tools, and templates to ensure compliance and sourcing excellence.
  • Act as change agent for compliance or new policy rollouts, including training and communications to the function.
  • Ensure CRE’s adherence to company risk standards.
  • Liaise with the Equinix CRE Business contract manager, Equinix Legal, and vendors to negotiate and reach agreement on contractual terms, conditions, and amendments.
  • Use appropriate contracting templates.
  • Use tools to prove, track, and report compliance.
  • Compile and manage the CRE vendor database, including key dates, contract status, and spend.

Change Management and Communication

  • Manage communication and the vendor management training program for CREW.
  • Create high-quality and compelling presentations to communicate Vendor Management priorities and processes.
  • Construct action proposals based on analysis of relevant data.
  • Maintain relationships with Regional Procurement where vendors are shared between Ops and CRE.
  • Adhere to Equinix Generative AI guidelines in deploying artificial intelligence resources for pattern recognition, workflow enhancement, and other common tasks as a way to augment, and not substitute, the Vendor Manager’s original work product.

Metrics

  • Work with vendors to jointly design, develop, install, and track key performance indicators (KPIs) to effectively measure, manage, and show the impact and value of vendors’ products and services to CRE.
  • Manage the standard definition and computational methodology of all Procurement KPIs and metrics.
  • Manage the process and system to accurately collect, normalize, and calculate all metrics by region, commodity, or cost center organization.
  • Support the development and maintenance of processes and systems to easily gather and maintain savings pipelines by region, commodity, or cost center organization.
  • Ensure data integrity and accurate measurement of savings as defined by Finance and Procurement standards.
  • Support the coordination of CRE participation in benchmarking studies in conjunction with FP&A.
  • Compare the performance of key CRE vendors against best-in-class services provided to other organizations and advise on improvement opportunities and the incremental cost and benefit of making a change.

Supplier Management

  • Ensure vendor performance is consistent with agreed contract parameters.
  • Act as Category Manager for given categories, approving or declining requests for new vendors within these categories.
  • Review and validate invoices and manage purchase orders, POs, and payments for top 20 vendors.
  • Ensure all vendors who perform medium- and high-risk work are aware of the RAMS and PTW procedures required.
  • Participate in key suppliers' quarterly business reviews (QBRs), integrating KPIs into QBRs to drive continuous improvement.
  • Lead contract lifecycle governance, including renewals and renegotiations, for top 20 vendors.
  • Manage corrective actions and improvement plans for underperforming vendors.
  • Participate in and contribute to the planning, creation, documentation, and launch of RFIs and RFPs for key commodities at the request of the Sourcing/Procurement function.
  • Read, evaluate, and identify anomalies in vendor invoices, accompanying income statements, and other financial reports used by the vendor to determine bill amounts.
  • Participate in and contribute to RFP proposal review and bid-leveling processes supporting a given sourcing event at the request of the Sourcing/Procurement function.
  • Participate in and contribute to pre-award negotiations, dispute resolution negotiations, and contract amendment negotiations at the request of the Sourcing/Procurement function.

Sustainable Procurement

  • Engage suppliers representing 66% of Equinix supplier base to set their own carbon emission reduction targets by year-end 2026 and to reduce absolute emissions from fuel and gas activities by 50% by 2030 from a 2019 baseline year.

Qualifications

  • A business degree in general business administration, finance, procurement and supply chain management, economics, or a relevant related subject.
  • A demonstrated understanding of the economics of business, how commercial businesses operate, generate income, and incur expenses.
  • Demonstrated experience developing and installing business performance measurements such as key performance indicators (KPIs), efficiency goals, financial performance metrics, and similar targets.
  • Proven experience leading or co-leading the contract negotiation of a large supply agreement.
  • Proficiency in English, written and spoken.
  • Experience in either an outsourced or in-house Facilities Management department.
  • Proven experience as a working operative in a procurement, sourcing, or similar supply chain management role.
  • Experience collecting, validating, normalizing, and organizing data to support decision-making.
  • Verifiable ability to interpret, analyze, and diagnose disparate data elements to draw conclusions or identify patterns for use in trend analysis and mapping.
  • Prior experience actively engaging and working with global residents of non-home countries; physical engagement is preferred, though virtual engagement is acceptable.
  • Ability to independently develop and manage resources and programs.
  • Demonstrated experience managing conflict, communicating requirements during contestable negotiations with vendors, and resolving tense disputes.
  • Effective communication skills with timely delivery of professional communications to vendors, customers, and team members.
  • Experience with supply chain and spend management platforms such as Coupa, SAP Ariba, and NetSuite.
