About the Role

We are currently seeking an experienced HR & Payroll Administrator to join our Rotterdam office to cover a maternity leave. This is a temporary position for a period of eight months.

The HR team in Rotterdam supports all OMA offices worldwide, including Rotterdam, New York, Hong Kong, and Brisbane. In this role, you will take primary responsibility for payroll and related HR administration for our New York office, while supporting broader HR processes in Rotterdam.

We are looking for a candidate with strong hands-on experience in payroll administration and HR operations, preferably within a US employment context. You will work closely with internal stakeholders to ensure accurate and timely payroll processing, compliance, and administrative support.

The position requires a high level of independence and ownership, with a clear focus on New York payroll processing, compliance with US federal and New York State regulations, and related HR administration.

In addition, you will support US visa and immigration processes, coordinating with internal teams and external providers to ensure accurate documentation and timely processing. You will also assist the Rotterdam HR team with selected administrative processes.

This role is well suited to an experienced HR/payroll professional who is comfortable working independently, has knowledge of US employment practices, and enjoys operating in an international working environment.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field;
  • Minimum of 5 years of relevant experience in payroll administration and HR operations;
  • Strong experience with US payroll administration and knowledge of US federal and state employment legislation (New York experience is highly preferred);
  • Experience with payroll systems such as ADP or Paychex is a plus;
  • High attention to detail with strong administrative and organizational skills;
  • Ability to work independently, take ownership, and manage deadlines effectively;
  • Strong communication skills and a proactive mindset;
  • Fluency in English (written and spoken) is required;
  • Ability to handle sensitive and confidential information with discretion;
  • Proficiency in Microsoft Office Suite.

Responsibilities

  • Take primary responsibility for the accurate and timely processing of payroll for the New York office;
  • Ensure compliance with US federal and New York State employment and payroll regulation;
  • Maintain payroll data, reporting, and employee records for the New York office with a high level of accuracy and confidentiality;
  • Act as the main point of contact for payroll- and benefits-related queries from employees and stakeholders in the New York office;
  • Coordinate payroll documentation, internal controls, and audit support related to US payroll processes;
  • Support US visa and immigration processes, including preparation, tracking, and documentation of applications, extensions, and transfers;
  • Liaise with immigration attorneys, external providers, and internal stakeholders regarding US mobility matters;
  • Support the Rotterdam HR team with HR administration across the employee lifecycle, including onboarding and offboarding, and sick leave administration;
  • Contribute to HR projects and process improvements as needed;
  • Ensure data quality and compliance with internal policies and applicable legislation across all HR activities.
