The Hague Institute for Innovation of Law (HiiL) is a civil society organisation dedicated to people-centred justice. This means building justice systems that are built around the needs of people. We are looking for an Executive Assistant (36-40 hours per week) to support the Chief Operating Officer (COO) and based in The Hague.

The COO and Executive Board member drives an agenda of country programming and innovation and is focused on ensuring that each department is results and data-driven, strategically aligned, and designs and delivers right fit services to the HiiL’s country programmes. In this context, the Executive Assistant’s primary responsibility is to provide high quality, core administrative and coordination support to COO in continuing to build an effective and performance-focused department. A critical part of the role is operating as the pro-active, visible peer across the Executive Office. In this role, the Executive Assistant has visibility into and supports the most strategic efforts of HiiL.

In addition to providing executive assistance to the COO, the Executive Assistant will provide operational support, ensuring that all elements of the COO office are managed professionally, proactively, and efficiently in service of HiiL.

How will you contribute to HiiL’s mission?

  • Organise and plan the calendar for the COO, in support of COO’s top priorities, oversight, decision-making and monitoring execution;
  • Facilitate work between the COO’s office and various departments to ensure seamless communication and coordination;
  • Perform administrative tasks as required by the COO, including following up on outstanding issues, checking expenses and preparing expense reports;
  • Contribute to the COO’s preparation, facilitation and follow-up of all internal and external meetings through agendas, minutes, action tracking, archiving and presentation support;
  • Support the COO with the Progress Review cycle and assist with strategic projects and events as directed;
  • Organise and coordinate the COO’s travel (visa, flights, hotel) and ensure business expenses are processed on time;
  • Undertake other duties and additional responsibilities based on capacity, skills, and interest.

What we look for in our new colleague

  • You have 5-10 years of executive support experience and preferably in an international environment;
  • You have preferably a Bachelor's degree or HBO in Administration or any relevant field;
  • You are very comfortable working with Google Workspace, MS Office applications and other IT tools.
  • You have strong organisational and time management skills, being proactive, flexible and detail oriented.
  • You have tact and diplomacy in communication, including the ability to deal with information of confidential nature;
  • You have full professional proficiency in English, with French and/or Dutch fluency being strong assets;
  • You have experience in and/or strong interest in working in a diverse and international environment;
  • You must have an EU-citizenship or NL working permit.

What we offer

  • Start date: as soon as possible;
  • A position for an initial period of 12 months with the aim of building a long-term work relationship;
  • A monthly salary for a full-time working week between €3.600 / €4.700 based on relevant experience and seniority;
  • Up to 8 weeks of holidays when working full time;
  • Company laptop and an NS card for commuting.
