About the Role

ESTEC Workplace Project Manager, Real Estate and Facilities Management (REFM) Department, Directorate of Resources and Services.

As the ESTEC Workplace Project Manager, you will report to the REFM ESTEC Site Manager and will drive the transformation of the working environment and play a key role in ensuring effective utilisation of ESTEC’s legacy and newbuild working environments.

The Real Estate and Facilities Management Department is responsible for eight sites across Europe, with a total of approximately 250,000sqm of working space, as well as technical facilities, and a population of over 7,000 employees.

ESTEC is the largest of the ESA sites, with a total of approximately 130,000sqm of working space, the largest European satellite test centre, numerous laboratories and technical facilities, a conference centre, and various general-purpose facilities with over 3,500 employees.

Duties

Reporting to the REFM ESTEC Site Manager, and in coordination with the ESA Workplace Development Lead, your responsibilities will include:

  • creating and updating the ESTEC workplace masterplan, which will serve as the key point of reference for on-site directorates for the allocation of the legacy office environment, renovated modern working environments and newbuild workspaces;
  • acting as the key point of contact for ESTEC customer directorates to explain applicable policies and guidelines for the working environment and to assist with the identification of optimised solutions;
  • managing the workplace work packages in projects covering new constructions and large refurbishments;
  • coordinating the work packages of an outsourced contract to manage the working environment at operational level to ensure that personnel moves are carried out in line with plans agreed with customers;
  • managing the inventory, procurement and deployment of furniture in the workplace environment;
  • working closely with the ESA Workplace Development Lead in the REFM Development and Coordination Office to ensure that the ESA workplace design guidelines are effectively implemented on the ESTEC site;
  • working closely with the ESTEC Hard Services Section to ensure the timely provision of agreed customer layouts for those areas subject to modifications and adaptation.

  • Synthesis skills: ability to take in a variety of complex information and then effectively simplify, organise, and translate it into action
  • Analytical skills: proficiency in data analysis tools to evaluate and make recommendations for improvement
  • Proven experience in activity and project management: efficient activity and project management skills, including planning, preparing, executing, and evaluating projects
  • Knowledge of standards and regulations applicable to workplace design and operations
  • Knowledge of real estate and facilities management software and tools

Education

A master's degree in a relevant discipline is required for this post.

Additional requirements

You must also have strong communication, problem solving and interpersonal skills. Additionally, you should demonstrate the ability to lead change and transformation efforts and effectively oversee small teams of industrial partners.

In principle, recruitment will be within the advertised grade band (A2-A4). However, if the selected candidate has less than four years of relevant professional experience following the completion of the master’s degree, the position may be filled at A1 level.

Applicants must be eligible to acquire the security clearance by their national security administrations.

During the recruitment process, the Agency may request applicants to undergo selection tests. Additionally, successful candidates will need to undergo basic screening before appointment, which will be conducted by an external background screening service, in compliance with the European Space Agency's security procedures.
