The Recruitment Operations Data Specialist collaborates closely with the Recruitment Operations Team Leader, the international Talent Acquisition team, and the Recruitment and Onboarding Operations team. The role ensures that candidate, vacancy, and onboarding data are effectively captured, maintained, displayed, and analysed. This data supports talent acquisition insights and commercial hiring decisions across the international firm.

Using tools such as Excel, PowerQuery, PowerPoint, and PowerBI, the specialist manages data primarily sourced from SuccessFactors, our HR technology and applicant tracking system. The role is responsible for maintaining accurate data within our ATS across international recruitment and HR teams, providing both planned and just-in-time insightful reporting based on clearly defined data points.

Main duties and responsibilities

Reporting and Insights

  • Ensure the production, coordination, distribution, and accuracy of all scheduled and just-in-time reporting, data requirements, and tasks in agreement with the Team Manager
  • Collaborate with primary International Talent Acquisition team stakeholders, Team Manager, and Team Leaders to design, produce, and enhance current, ad-hoc, and future data requirements
  • Deliver reporting, communication, and presentation of talent acquisition business insights using defined data dependencies and relationships
  • Continuously review and analyse data to identify new and emerging recruitment trends, and highlight trends to aid leadership decision-making
  • Embed data display standards for reporting and the presentation of reports, commentary, and insights
  • Maintain, produce, and distribute regular reporting on candidate management, D&I, vacancy management, sourcing activity, cost of hiring, commercials, ATR, and headcount. Support the development of key recruitment metrics
  • Improve reporting capability to drive data-driven decision-making and insights

Data Integrity

  • Collaborate with the Recruitment Operations Manager and Team Leader to ensure accurate and timely data collection, management, and storage of all data points, including requisition approval, candidate, vacancy and hire data in SuccessFactors
  • Ensure GSC, HR, and International Recruitment Business Partners interact with processes to produce accurate data points
  • Identify and escalate inefficiencies in data collection, management, storage, and reporting
  • Continuously review data collection points and processes for accuracy
  • Implement new data collection points to enhance reporting capabilities in line with recruitment strategies
  • Support team delivery quality and accuracy
  • Ensure data compliance across jurisdictions, focusing on data privacy and GDPR
  • Maintain data transparency and accuracy for countries without embedded systems
  • Embed the use and updating of systems to drive consistent data integrity across international offices

Systems and Processes

  • Collaborate with the Recruitment Operations Manager, Team Leader, HRIS team, and Recruitment Operations Subject Matter Expert to embed data process and reporting improvements
  • Support data processes, principles, and guidelines for the transition to SuccessFactors
  • Ensure appropriate reporting procedures and governance
  • Map and migrate new recruitment data processes to GSC
  • Maintain process documentation and reports
  • Support team performance against procedures, SLAs, and stakeholder expectations
  • Promote and apply best data practices across the international firm
  • Embed new systems and processes to enhance efficiencies, data accuracy, and reporting capabilities
  • Identify data points and reporting capabilities for new systems, technologies, or processes (e.g., candidate feedback)
  • Train new joiners on the importance of data management
  • Ensure adherence to data standards, guidelines, and legislation across international offices

About you

  • University degree
  • Excellent command of English
  • Strong focus on data and attention to detail
  • Proven expertise in Excel, data analysis, and reporting
  • Proficiency in data presentation using Excel and PowerPoint
  • Knowledge of PowerQuery and PowerBI
  • Ability to work under pressure and manage stakeholder expectations
  • Experience in HR environments with an ATS (preferred)
  • Customer-oriented and proactive approach
  • Effective planning, organisational, time management, and prioritisation skills
  • Ability to collaborate with team members and other teams to deliver solutions
  • Capable of handling multiple priorities and working to conflicting timescales in a fast-paced environment
  • Ability to build trust and rapport for effective internal and external relationships
