The Lead Admin inspection coordinator ensures that the inspection-related data and progress is maintained and accurate in our systems and tools.

The Inspection Coordinator will primarily be responsible for ensuring the overall completeness of inspection activities is properly administered, and to visualize key information through reporting, dashboards and KPI tracking.

You will directly coordinate and guide the third-party inspection agencies for your assigned project to ensure their compliance with our requirements and that timely execution of work is being performed. We follow a policy of ‘no carry over work’, meaning that we strive for the full completion of inspection activities prior to the collection of material, this means we focus on avoiding or clearing out punch lists and outstanding work lists diligently.

This pivotal role collaborates with the Project Inspection Supervisor and the Project Inspection Coordinators, providing a unique perspective and opportunity to experience Inspection Services through a variety of tasks.

Main Tasks & Responsibilities

  • You will be responsible to monitor the overall inspection data in our ERP. This is a crucial activity as it provides our project teams and management with inspection services visibility and the ability to forecast activities.
  • Expedite the third-party agency for timely actions in particular; submittal of field inspection reports, correct completion of our punch list/OWL templates, timesheets.
  • Generate and maintain a Vendor Inspection Plan (VIP) in our ERP for assigned projects.
  • Ensure project inspection coordinators comply with requirements related to setting up and registering inspection activities in our ERP.
  • Support in ensuring that Project procedures for issuance of Inspection Release Certificates, Inspection Waivers, and Issue of Punch lists is implemented;
  • Support in maintaining the Project Inspection Matrix (PIM)
  • You may be required to attend key Post PO meetings such as KOM, Progress meetings, or Release for Shipment Package Health Check Gate reviews.
  • Liaise closely with our document control team to ensure complete and timely uploading of inspection-related documentation in our systems.
  • Prepare and maintain regular reporting on; Vendor Inspection Plan, Inspection dates forecasting, Punchlist/OWL, Site Observations
  • Support the Project Inspection Coordinators in ensuring that supplier notifications comply with our requirements as well as preparing transmittal packages towards inspection agencies.

Education & Experience

Qualified candidates should possess at least a high school diploma or a Bachelor’s degree from a field related to engineering, business, analytics or computer sciences and have 3+ years of previous inspection coordination or inspection administration role experience. Having good knowledge of Oil & Gas industry quality standards and Inspection test requirements for complex equipment is a plus.

Furthermore, you are or you have:

  • Strong analytical skills and competencies
  • Strong Excel experience. PowerBI experience is a plus.
  • Experience as a field inspector or inspection coordinator is a plus
  • An understanding of quality documentation (ITPs, technical specifications, FAT procedures, Manufacturing processes, Quality assurance plans…
  • A self-starter who possesses good interpersonal and organizational skills;
  • Great Time Management skills;
  • Leadership skills and proactive behavior;
  • Flexible and adaptable to react to operational changes;
  • Fluent in English (both written and verbally).
