\nJouw baan:

• Wij zijn op zoek naar een vrolijke en proactieve Office Coördinator die het eerste gezicht van Brooks is voor onze bezoekers op het EMEA HQ in Amsterdam. Je bent verantwoordelijk voor uiteenlopende ondersteunende en administratieve taken, waaronder inkomend telefoon verkeer, beheer van kantoorbenodigdheden en verzorging van de post.
• Vanwege de aard van de functie vragen we je om van maandag tot en met vrijdag op kantoor te werken. De werktijden liggen tussen 8.30 en 17.30 uur.

Jouw verantwoordelijkheden:

• Jij bent het gezicht van Brooks bij de balie; je ontvangt (internationale) bezoekers en zorgt dat de juiste contactpersoon op de hoogte wordt gesteld.
• Je beantwoordt inkomende telefoon
• Je zorgt ervoor dat de receptie, lobby, postkamers, vergaderruimtes, Showroom, keuken en opslagruimte georganiseerd en representatief zijn
• Het verwerken van inkomende en uitgaande post.
• Het coordineren van zakelijke reizen voor EMEA HQ en Benelux medewerkers.
• Je organiseert en denkt mee over kantoorevenementen en -activiteiten voor medewerkers van het EMEA HQ.
• Het bijhouden van de inventaris van kantoor- en keukenbenodigdheden.
• Administratie met betrekking tot lease auto’s voor Nederland en Belgie en aanspreekpunt voor vragen van Brooks Office Coordinators op kantoren binnen EMEA.
• Je doet de eerste onboarding voor nieuwe medewerkers en draagt zorg voor een efficiente offboarding van vertrekkende medewerkers (kantoor toegang, inname Brooks’ eigendom etc.)
• Je onderhoudt het contact met leveranciers zoals bijvoorbeeld het schoonmaakbedrijf, de verhuurder, parking, beveiliging, enz.
• Je coordineert alles wat met de veiligheid op kantoor te maken heeft en zorg ervoor dat alle veiligheidsapparatuur en certificaten up-to-date zijn.
• Je ondersteunt het EMEA HQ-team met de voorbereiding van vergaderingen: opzetten van de ruimte, organiseren van catering, opruimen, en het beheren van de boekingen.
• Het uitvoeren van ad-hoc administratieve taken en projecten

Jouw kwalificaties:

• Bij voorkeur een MBO- of HBO-opleiding in facilitair of hospitality management.
• 1-3 jaarvergelijkbare ervaring als receptioniste, administratief medewerker of klantenservicemedewerker.
• Servicegerichtheid en een flexibele instelling zijn een must.
• Uitstekende mondelinge en schriftelijke communicatieve vaardigheden in het Nederlands en Engels zijn verplicht.
• Goede planningsvaardigheden en het vermogen om prioriteiten te stellen zonder de dagelijkse routines te vertragen.
• Aandacht voor detail bij het plannen, organiseren en uitvoeren van taken, terwijl je toch het grotere geheel ziet en begrijpt hoe alle stukjes in elkaar passen en elkaar beïnvloeden.
• Vaardigheid in basiscomputervaardigheden, waaronder het gebruik van MS Word, Excel, Outlook en PowerPoint.
• Je gelooft in de bedrijfswaarden van Brooks en uit die in je dagelijkse werk: Runner First, Word is Bond, Champion Heart, There’s no ‘I’’ in Run en Keep Moving!
• Een passie voor hardloopliefhebbers en het beoefenen van een actieve levensstijl.
