We are currently recruiting a Project Management Officer (PMO) / Junior Project Manager (JPM) for the Finance Regulatory Reporting and Data Management Department in our Amsterdam office.

Your impact at MUFG

The PMO/JPM is responsible for supporting the Programme manager Finance and Project Managers in coordinating and managing all aspects of Regulatory Reporting and Data Management projects. These projects are driven by regulatory requirements, the MBE strategic roadmap, including Data Strategy, and Tokyo Head Office guidelines.

As PMO you will be immediately part of one of the largest strategic projects within MBE. As JPM you will take responsibility for smaller initiatives under the direction of the Programme manager Finance, who is also your line manager. On average, your time allocation will be approximately 60% PMO and 40% JPM.

Key responsibilities:

  • Monitor project progress proactively and escalate where appropriate.
  • Ensure timely and thorough preparation of documentation and meetings.
  • Prepare PowerPoint packs for formal meetings such as executive-level steering committee meetings; strong PowerPoint capability is essential.
  • Organize logistics, including onboarding new project resources, planning recurring steering committee and ad hoc meetings, capturing and sharing minutes, and aligning with senior secretaries when Management Board members are involved.
  • Ensure compliance with internal and external regulations.
  • Establish, maintain, and ensure adherence to Project Management Standards, including the MBE Project Management Framework (PMF) and best practices, to support efficient project execution.
  • Monitor audit findings and act as spokesperson for the audit department.
  • Work with a can-do attitude and commercial mindset, meeting targets and being willing to be hands-on where necessary; this is not a 9-to-5 role, as working in Change differs significantly from business-as-usual work.
  • Oversee a fast-paced project portfolio and optimize or support delivery to ensure timelines and requirements are met.
  • Take direct responsibility and accountability for smaller initiatives.
  • Coordinate the project management team and delegate tasks.
  • Monitor expenditures and create detailed reports for upper management.
  • Handle miscellaneous administration, including monitoring time capture by project members.
  • Follow up on outstanding requests with the Service Desk.
  • Provide ad hoc executive assistance when needed.
  • Build and maintain a platform for collaboration and information sharing.
  • Initiate and implement improvements independently.

In order to be successful in the role, you will need the following:

  • Master’s degree.
  • Minimum 3–4 years of experience as a Project Management Officer and/or PMO lead in the financial industry, plus 1–2 years of experience as a (junior) project manager.
  • Project management experience from planning through evaluation.
  • Knowledge of end-to-end processes and front office workflows.
  • Change management experience, including tools and methodologies such as SWOT and gap analysis.
  • Experience working in an international matrix organization.
  • Strong verbal and written communication skills.
  • A critical and advisory attitude, including not only capturing notes but also shaping messaging and tailoring content to the audience; the PMO should act as the right hand to the Project Managers.
  • Strong planning and organizational skills, including problem-solving, stakeholder management, and working to short timelines.
  • Proficiency in common IT applications.
  • Experience with Jira, Confluence, MS Project, MS Lists, ServiceNow, and preferably Planview.
  • Knowledge and understanding of the bank’s business, policies, rules, and guidelines.

Project Administration support tasks

  • Plan, organize, update, and steer actions for project implementations.
  • Support the development of project deliverables based on requirements.
  • Act as a linking pin within the team and with other stakeholders.
  • Organize and facilitate meetings.
  • Support HR-related administrative activities.
  • Check and prepare materials needed for project activities.
  • Design and update schedules and action lists.

Additional information

The role is based in the Netherlands. All candidates need to be willing to relocate to the Netherlands. Internal employees will be supported in case of relocation. We are open to considering flexible working requests in line with organisational requirements.
