Executive Assistant Taste; Taste, Texture & Health

This role provides high-level administrative and strategic support to the Executive Vice President of the Taste division in Taste, Texture & Health with responsibility for ensuring seamless day-to-day operations, effective communication, and efficient coordination across internal and external stakeholders.

The ideal candidate is proactive, highly organized, discreet, and capable of managing shifting priorities in a fast-paced executive environment. You support the Executive Vice President, both professionally and personally.

On the professional side, you plan executive meetings, prepare presentations, and act as the point of contact for internal and external stakeholders such as advisors and external customers. Communication is almost always conducted in English, as both the EVP and most colleagues are English-speaking. Therefore, fluency in Dutch is not a strict requirement for this role.

The EVP’s schedule is busy and demanding. This means you manage his calendar tightly while also allowing room for shifting priorities and ad hoc changes, as these occur regularly. On the personal side, you support him by arranging travel, accommodation, and other appointments. By taking this off his plate, he can fully focus on his work.

What distinguishes this role is its breadth and intensity. This EVP requires an executive assistant who can keep up with his pace, understands the complexity of the organization, and acts with discretion and purpose in every situation. The trust he places in your professionalism, integrity, and adaptability forms the foundation of your collaboration.

This position is suited for an assistant with experience supporting at C-level in an international environment, who understands what it means to be a business partner at that level. You are flexible, both in your schedule and in your personality, and can effortlessly switch between strategic thinking and hands-on execution. Experience with AI tools is a plus.

Your key responsibilities

  • Manage a complex and highly dynamic executive calendar, including prioritization, conflict resolution, and scheduling across multiple time zones
  • Coordinate all aspects of international travel, including flights, hotels, ground transportation, and visa or entry requirements
  • Prepare and organize meeting materials, organize internal leadership team meetings, and draft/distribute executive communications as needed
  • Prepare, track, and follow up on expense reports and related payments; maintain accurate contact records and mailing lists
  • Handle confidential information with discretion, maintain professionalism, and coordinate executive-level meals, events, and offsite meetings
  • Identify opportunities for process improvement and use advanced Microsoft Office tools (Outlook, Teams, Word, PowerPoint, Excel) to enhance productivity and efficiency

You bring

  • High degree of initiative, sound judgment, ability to anticipate needs and take independent action; ability to work effectively with minimal supervision and remain self-motivated in a dynamic environment
  • Minimum of 5 years’ experience as executive assistant; experience as a trusted and responsive liaison to the executive office while respecting organizational priorities and time constraints
  • Confidence, resilience, and professionalism when navigating demanding situations; effective performance under pressure and tight deadlines while remaining calm and composed
  • An approachable presence and ability to provide thoughtful counsel and direction; ability to build strong relationships through excellent interpersonal skills and a service-oriented approach
  • Flexibility and the ability to reprioritize quickly based on evolving business needs; excitement and drive while managing multiple priorities and competing demands simultaneously; a positive, energetic, solutions-oriented attitude
  • The highest standards of confidentiality, integrity, and trustworthiness; accurate, high-quality work with exceptional attention to detail; strong interest in the organization’s mission and use of technology; multilingual English required, Dutch preferred
