To support continued growth, Spacewell is looking for a Sales Operations Specialist who brings structure, accuracy, and a strong service mindset to commercial operations. In this role, you will help ensure that sales processes run smoothly, CRM and contract administration stay up to date, and sales teams can focus on building customer relationships and driving growth.

Your mission

As a Sales Operations Specialist, you make sure the commercial engine behind the sales team runs smoothly. You bring structure to quotations, orders, renewals, and contract administration, ensuring that every step in the sales process is accurate, complete, and processed on time.

You will work closely with Account Executives, Customer Success Managers, Finance Operations, Hardware Logistics, and other Sales Operations colleagues to keep internal workflows aligned and help sales teams move faster, support customers better, and contribute to predictable revenue growth.

What you’ll do

  • Prepare, review, and process quotations, sales orders, and subscription renewals.
  • Support Account Executives and Customer Success Managers with accurate quote creation and order processing.
  • Review and approve sales orders, ensuring all required information is complete and correct.
  • Process contract renewals for existing customers and partners.
  • Handle small upsells independently, as well as downgrades and contract cancellations from existing customers.
  • Forward sales orders to Finance Operations and collaborate with them to ensure smooth and timely order processing.
  • Communicate with the Hardware Logistics department regarding hardware-related deals.
  • Maintain accurate administration related to leads, contracts, and contract-linked documentation.
  • Keep the CRM system up to date and ensure customer, contract, and order information is correctly documented.
  • Contact customers to review open purchase orders, clarify missing or incorrect information, confirm delivery dates, and document updated commitments in the CRM system.
  • Make sure open orders and renewals are processed before the financial month-end close.
  • Contribute to continuous improvement of sales operations processes, data quality, and internal collaboration.

What we’re looking for

  • Experience in sales operations, sales support, order management, contract administration, or a commercial operations role.
  • Strong experience with CRM systems, such as Salesforce or HubSpot.
  • Experience with ERP systems, such as NetSuite, is a plus.
  • Understanding of sales processes and the commercial order-to-cash flow.
  • Basic understanding of financial processes and how sales orders connect to finance operations.
  • Strong attention to detail and the ability to work accurately, also when deadlines are tight.
  • A structured and punctual way of working.
  • Strong communication skills and the ability to work with different internal stakeholders.
  • A team-oriented mindset, with the confidence to follow up, ask questions, and clarify details where needed.
  • A commercial mindset and a proactive approach to supporting the sales organization.
  • Fluent in Dutch and English, both spoken and written. Other European languages, such as Spanish, are a plus.
