This Privacy Policy explains how Magnet.me NL B.V. ("Magnet.me", "we", "us") processes personal data when running its business, including operating its recruitment and employer branding platform (the "Platform").
We value transparency and aim to explain what personal data we process, for which purposes, on which legal bases and what rights individuals have.
This Privacy Policy applies to visitors of the Platform, persons who sign up for or activate a jobseeker account on the Platform ("Members"), representatives and users (“Users”) of our clients ("Employers"), individuals who apply for a job at Magnet.me, and other individuals whose data we process in connection with our business operations. The Platform cannot be used by persons below the age of sixteen so we do not intentionally process personal data of such persons.

Magnet.me acts as controller for the processing described in this Privacy Policy and as processor for certain processing activities performed on behalf of Employers, as described in the data processing agreements concluded with Employers. For example when a Member applies for a vacancy or otherwise shares personal data with an Employer, the Employer processes such personal data as an independent controller for its own recruitment and hiring purposes. The Employer’s own privacy policy applies to the Employer’s processing.
3.1 Member data. Depending on how you use the Platform, we may process data such as account details, social media login data if used, profile information, contact details, resume information such as education, skills, interests and career preferences, application-related information, interest-based information such as job interest, location, title and experience, interaction data such as views, clicks, responses and likes, communication data such as messages shared with us or Employers and AI Career Coach content, and, where available and relevant to the Platform, limited application status, interaction, performance and disposition signals such as application stage, response indicators, message delivery indicators, timestamps, source or channel and hire/no-hire outcomes.
3.2 Employer contact and User data. We may process names, business contact details, organisation, job title, account data, billing information, Platform usage data and interaction data relating to representatives and Users of Employers. This does not refer to Member data.
3.3 Disposition data. We process limited technical, interaction, performance and status-related signals generated through User’s use of the Services or through an applicant tracking system (ATS) integration enabled by Client, such as application identifiers, vacancy identifiers, source or channel, application status or stage, status-change timestamps, message delivery or response indicators, campaign performance signals and hire/no-hire outcomes.
3.4 Contact form data. When you fill out a contact form, we process your name, email address and personal data included in your message.
3.5 Magnet.me job applicant data. We process name, contact details, resume information, picture, application-related information and communication data.
3.6 Other business contact persons. We process data such as name, contact details, organisation and communication data.
3.7 Technical and usage data. We process IP addresses for security logging, log files, security data, cookie data and similar technology data where applicable.
4.1 To allow Members to create, activate, secure and use accounts on the Platform, including social media login where chosen.
4.2 To allow Members to use Platform functionality, including uploading resume information, sharing information with Employers, connecting and communicating with Employers, receiving matching vacancies, using AI agents to train for job applications, and signing up for talent networks.
4.3 To operate, maintain, moderate, secure, analyse and improve the Platform and Services, including matching Members and Employers, recommending vacancies, showing relevant content, platform analytics, aggregation, troubleshooting, customer support, prevention of malicious use, service improvement and authentication.
4.4 To process limited application status, interaction, performance and disposition signals, to operate, secure, analyse and improve the Platform and Services, including matching quality, recommendation logic and improvement, vacancy and campaign performance support, fraud and abuse prevention, Platform integrity and service improvement, subject to appropriate safeguards and any applicable client opt-out.
4.5 To send Members, Users and Employers service and legal notifications and communicate about our services, including support.
4.6 To analyse and aggregate Platform usage and interaction data, for example to identify labour market trends or show Employers aggregated and anonymous insights, provided that such insights do not identify individual Members.
4.7 Where permitted by applicable law and, where required, based on consent or the user’s cookie or marketing settings, to share limited personal data such as hashed email addresses with social media platforms such as Facebook/Meta, Google, LinkedIn or TikTok for marketing, audience matching, campaign measurement, lead generation, traffic generation or promotion of Magnet.me or the Platform. Hashed email addresses may still qualify as personal data where they can be used to identify individuals.
4.8 To conclude and perform agreements with Employers and suppliers, billing and relationship management, account administration, contract management, support administration, enforcement of contractual agreements.
4.9 To verify and enforce compliance with terms of service, agreements and applicable laws, respond to legitimate third-party requests and handle legal disputes.
4.10 For individuals applying for a job at Magnet.me, to assess suitability and run the application process.
4.11 In the context of a merger, acquisition, sale of assets or similar transaction, to share data strictly as necessary for that transaction.
We process personal data on one or more of the following legal bases, depending on the relevant purpose: our legitimate interests, or those of a third party, provided that such interests are not overridden by the interests or fundamental rights and freedoms of the individual; performance of an agreement with the individual, where applicable; compliance with legal obligations applicable to Magnet.me; and consent in specific situations.
Our legitimate interests include running our business, maintaining and operating the Platform, matching, showing recommendations and relevant content, platform analytics and improvement, aggregation of data, security, preventing misuse, administration, providing services and support, communication, sales, marketing and relationship management, handling disputes, and responding to legitimate third-party requests.
Where we rely on legitimate interests, we consider the impact on individuals and apply appropriate safeguards. Individuals may object to processing based on legitimate interests as described in Section 10.
6.1 Magnet.me uses automated processing, including profiling, to improve the relevance of content on the Platform. Profiling may be based on resume and profile information, interests indicated on the Platform and interactions on the Platform such as likes, views, clicks or responses.
6.2 Profiling can be used to recommend vacancies and Employers that match a Member’s interests, send Members invites to connect to an Employer, improve the relevance of Employer content and improve matching and recommendation logic.
6.3 Magnet.me may use AI-supported functionality to improve the relevance, quality, safety and efficiency of the Platform. This may include recruitment-related matching and recommendations, recruiter assistance, job and company content processing, operational diagnostics, trust and safety, internal support workflows, and user-facing tools such as an AI Career Coach. Except for user-facing AI provider functionality such as an AI Career Coach where a user includes personal data in the interaction, Magnet.me does not share personal data with external AI providers for these AI-supported purposes unless separately disclosed or agreed.
6.4 Magnet.me maintains an AI governance approach for AI-supported functionality, including controls relating to data minimisation, human oversight, transparency, logging, accuracy, robustness, cybersecurity, vendor governance and monitoring. Further information about Magnet.me’s AI governance approach may be made available upon reasonable request, where appropriate and subject to confidentiality, security and commercial sensitivity limitations.
6.5 For recruitment-related workflows, AI-supported outputs are intended to support human decision-making rather than replace it. Employers remain responsible for reviewing AI-supported outputs and making final recruitment and hiring decisions. AI-supported outputs should not be used as the sole basis for decisions that produce legal or similarly significant effects for Members or other individuals.
6.6 Magnet.me does not take solely automated decisions that produce legal or similarly significant effects for Members. Magnet.me does not intentionally use special categories as criteria for matching, recommendation or AI-supported functionality, unless separately agreed and legally documented. All hiring decisions are made by Employers. All vacancies can be found using the search functionality on the Platform. Recommendations are indicative and non-binding.
Personal data may be shared with Employers when you interact with them or when your profile is visible to them through Platform functionality, for example after you like a vacancy of that Employer, after they approach you, if you are in that Employer’s network, if you were sourced for one of that Employer’s active opportunities, or when you share your information after connecting with them.
Profiles are not visible to other Members. Personal data may also be shared with service providers acting as processors, social media login providers where used, social media platforms for the marketing purposes described in this Privacy Policy (Facebook/Meta, Google, LinkedIn or TikTok), OpenAI or other AI providers where a user interacts with AI-supported functionality such as an AI Career Coach chatbot and includes personal data in the interaction, third parties in legal disputes, third parties submitting legitimate requests, and authorities where legally required.
We ensure that processors are contractually bound to appropriate data protection obligations.
Personal data processed as part of the Platform and services is generally stored and processed within the European Economic Area.
When a user interacts with functionality offered by OpenAI or other AI providers, for example an AI Career Coach chatbot, personal data may be transferred outside the EEA if the user includes personal data in the interaction. This transfer takes place under appropriate safeguards. Magnet.me does not share personal data with OpenAI or other external AI providers for other AI-supported functionality described in this Privacy Policy, unless separately disclosed or agreed. Magnet.me may use anonymised data with AI providers for other purposes, provided that such data no longer identifies individuals. Where international transfers of personal data occur, Magnet.me ensures appropriate safeguards, such as adequacy decisions or standard contractual clauses.
Data processed for sales, marketing, commercial relationship management or support purposes may be processed outside the EEA with appropriate safeguards where required.

We retain personal data only for as long as necessary for the purposes described in this Privacy Policy.
Member data is deleted after a Member deletes their account, although data may remain in backups until the relevant backup is renewed or expires. Member data of inactive accounts is stored for 10 years. Magnet.me uses this period because career accounts may remain relevant over a long period and individuals may change jobs only after several years. Magnet.me intends to send inactivity reminders to Members and Members can delete their account at any time.
IP addresses used for security logging are stored for 90 days. Logging data is stored for 6 months. Personal data of individuals applying for a job at Magnet.me is stored for 4 weeks after completion of the application procedure or 12 months with permission. Contact details of business contacts are stored for the duration of the business relationship and generally until 10 years thereafter. Financial administration data is stored for 7 years. Data relating to disputes or legal matters is stored for as long as necessary to complete the matter and generally for 5 years thereafter.
After the retention term, data may be anonymised and retained for analytics and statistical purposes.
Under the GDPR, data subjects have the right to access, rectification, erasure, restriction, objection, data portability and withdrawal of consent where processing is based on consent. Where personal data is used for direct marketing, we will stop using it for those purposes upon request.
If you are a Member, you can edit visibility of information through privacy settings in your account. Requests can be submitted via the contact details above. We may be entitled to refuse certain requests or parts of requests where permitted by law.
You have the right to lodge a complaint with a supervisory authority. In the Netherlands this is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
We use cookies and similar technologies to operate and improve the Platform. Further information is provided in our Cookie Policy or through cookie banners and settings where applicable.
We may update this Privacy Policy from time to time. The most current version will be made available on the Platform.
