We are seeking an Executive Assistant who is a proactive and independent thinker. As an EA at Just Eat Takeaway, you’ll support our Chief Technology Officer and their management team. You’ll be at the forefront of planning, organising, and streamlining their daily activities, ensuring everything operates seamlessly. In this role, you’ll be managing schedules, forward planning workloads, organising events, and handling travel arrangements.

We’re looking for someone who thrives on staying organised, has an analytical mindset and enjoys being at the heart of a busy, fast-paced team. Beyond daily tasks, this is a role where your initiative will be highly valued, and your responsibilities will evolve with your contributions. This position offers significant autonomy, we're looking for someone who can not only anticipate needs but also proactively identify opportunities for improvement and take initiative. This role provides a platform for you to explore new skills, learn emerging technologies, and advance your development.

You'll have the freedom to manage your responsibilities independently, making key decisions and streamlining processes while staying aligned with the CTO and other stakeholders.

Hybrid – 3 days a week from our Amsterdam office & 2 days working from home. Reporting to: Chief Technology Officer

These are some of the key components to the position:

  • Calendar Management: Ability to manage complex calendars, including scheduling internal and external meetings, appointments, and travel itineraries, often across multiple time zones. Proactive in anticipating scheduling conflicts and finding solutions. Calendars must be strategically managed to align with initiatives, long-term goals, and ad hoc high-priority meetings.
  • Travel Management: Coordinate and book travel for the CTO and leadership team using our internal booking platform. This includes arranging detailed domestic and international travel logistics (flights, accommodations, ground transportation, visa requirements), following up on changes, cancellations, and refunds, and booking group travel for larger offsites and onsites.
  • Communications: Draft professional and succinct emails, memos, and reports with clarity. Prepare presentations and other executive-level documents.
  • Finance: Work closely with our Procurement team to arrange meetings and communications with important partners and contacts. Raise Purchase Orders and Supplier Requests, manage workflows of legal documents if needed, and ensure accurate and timely submission of expense reports in compliance with company policies.
  • Meeting Preparation & Follow-up: Prepare agendas, gather necessary materials, take accurate meeting minutes, track and note action points, and follow them up. Anticipate the needs of the CTO and their team, and proactively engage the right people and resources to support them.
  • Events: Take full ownership of organising international team events and offsites, managing everything from venue selection to event execution. Research and onboard external speakers and workshop providers. Be the key point of contact onsite during such events and offsites, handling any issues or ad hoc changes.
  • Work closely with the Internal Communications team to plan and execute internal live-stream events, including venue and agenda preparation, and help align content with the Leadership team. Also help organize and facilitate larger project-based events and onsites.
  • Collaboration with other Executive Assistants: Build and maintain strong working relationships with the EA team to ensure seamless execution of company events and meetings. Provide local support as needed— all major office locations have a team of EAs that provide support if required.

What will you bring to the team?

  • Experience in a Personal Assistant, Executive Assistant, or similar support coordination role, with a strong understanding of the responsibilities involved.
  • Strong written and verbal communication skills in English (any additional language welcome).
  • Proven interpersonal skills paired with a high level of integrity and discretion in handling confidential information, and capable of building rapport with diverse individuals at all levels.
  • Experience in coordination of cross-functional matters and supporting stakeholders across multiple time zones.
  • Time Management & Prioritisation: Excellent ability to manage multiple tasks, deadlines, and competing priorities effectively.
  • Problem-Solving & Resourcefulness: Aptitude for identifying issues and finding creative, efficient solutions independently.
  • Initiative & Self-Starter: Doesn't wait to be told what to do; takes ownership and moves forward with tasks.
  • Proficiency in Google Workspace, staying up to date with Gemini integrations.
  • Basic knowledge welcome in Slack, Jira, Workday, and Ironclad.
