Team structure

Our legal departments are made up of partners, associates, trainees and paralegals, assisted by personal assistants and team administrators. The personal assistants work directly for the legal personnel.

Main responsibilities

  •  Work with fee earners to define and implement service requirements delegating tasks to appropriate support groups, i.e. team administrators, document production unit, print room etc.
  •  Manage all documentation priorities through the document production unit ensuring documentation is sent for processing and retrieved in a timely manner
  •  Manage relationship with team assistants, delegating all administrative tasks to the TA teams
  •  Review fee earner inbox, identify and action emails where necessary
  •  Create a standardised system for electronic filing of own and partner e-filing
  •  Manage all client external activities, i.e. travel relating to Clients, contact reports
  • following meetings/travel for fee earners, complete and instigate expense form
  • processing
  •  Take full management of fee earner diaries and itineraries
  •  Research and book travel options, accommodation and costs for both domestic and
  • overseas travel. Finalise travel itinerary and prepare travel packs
  •  Answer telephone in a speedy and professional manner, taking appropriate messages
  • and actioning where necessary
  •  Book fee earner on to appropriate seminars, training sessions. Maintain up to date fee
  • earner CPD records
  •  Arrange appropriate AML document checks, collate documentation and liaise with
  • Compliance as necessary
  •  Billing related tasks:

o Check draft bills/paperless bills for correct information prior to passing to fee earners. Assist with the smooth management of all bill processing and billing issues assisting fee earners with billing queries and anomalies

o Attend WIP and/or credit control meetings, following through to clients and updating credit control

o Check final bills for accuracyo Assist fee earners with time recording if appropriate

Attributes / skills required

  •  Advanced knowledge of Microsoft packages. Any knowledge of other legal packages is desirable although full training will be given.
  •  Typing speed of 60 wpm minimum
  •  View self as part of a professional team and as such responsible for delivering
  • excellent service. Work proactively seeking to help and support fee earners and
  • colleagues
  •  With flexibility being a key skill, the ability to respond positively and promptly to
  • requests at all times is a necessity
  •  A client facing role, the PA must possess aptitude to communicate effectively with
  • clients and fee earners at all levels in a professional and competent manner.
