The Freshfields Global Centre provides both business and legal services to the firm. Our services are delivered in a way which supports the global nature of our firm and our clients, enables our fee earners to deliver exceptional service to our clients and to do that in a way which is efficient and effective.

Function Overview

The HR Centres of Expertise (CoE) work directly with the business and with HR Business Partners to provide the right tools and frameworks to drive the people priorities through a regional based team.

The Reward CoE supports the firms people priorities of attracting, retaining, and engaging our people through rewarding performance fairly and consistently.

A competitive benefits offering is a key element of the global reward strategy. The global benefits team support this by developing the global benefits framework and offering, being responsible for developing and oversight of the global benefits and pensions management approach (brokers and providers) implementing, and managing benefits and pensions arrangements and communications, third party management and cost and data analysis to inform decision making.

Role summary/purpose of job

Working with the Global Benefits Manager and Head of Reward, the purpose of this role is to provide wide- ranging specialist and administrative support to the global benefits and local HR teams including policy administration, annual enrolment projects, management of benefit plans and pensions arrangements, third party providers, communications and strategic benefits projects.

Key responsibilities and deliverables

  • Supporting the annual enrolment windows for EMEA and APAC – liaising with brokers and third party providers, working closely with benefit technology provider to review plan designs and implement new benefits, User Acceptance Testing (UAT), coordinating launch communications including brochures, digital assets, online learning content and employee benefit fairs
  • Developing benefit offering - liaise with key business stakeholders & employee engagement groups to understand employee preferences and how the benefits support can support company priorities e.g., D&I, Responsible Business, changes to ways of working
  • Managing benefit processes - partner effectively with wider stakeholders such as, HR Services, HRIS, Global Mobility, Payroll and finance to ensure smooth delivery of benefit programmes and fit for purpose processes
  • Benefits knowledge – ensure key stakeholders are aware of benefits activities and coordinate training for local HR colleagues. Create and communicate training/BAU content for stakeholders via use of a Global Reward HR Hub site (Sharepoint). Responsible for the maintenance of Global Reward HR Hub site
  • Global benefits administration - responsible for the administration of global benefits policies i.e., life, disability and medical benefit renewals. Ongoing administration for starters, leavers, changes and underwriting requirements, reconciliations, invoicing and internal recharges
  • Benefits data - assist in the preparation of data packs, interpreting 3rd party utilisation, to inform decision-making. Research and gather market insights on benefits and monitor changes to legislation and any impact to benefits
  • Communications - draft and review employee communications to inform/promote benefits, support local benefits campaigns
  • Partner medical plan administration - support for partner medical plans, annual renewals, and quarterly distribution charges
  • Query escalation - supporting regional HR teams with colleague queries, and liaising with external third-party providers to resolve colleague queries/complaints
  • Ad hoc support on global benefits projects - supporting the Global Benefits Manager on firmwide projects such as new benefit technology roll outs, onboarding and induction, employee wellbeing and recognition programmes

Key requirements (Communication/skills/experience)

Essential

  • Demonstrable employee benefits knowledge and experience within fast paced corporate/professional services environment
  • Experience of flexible benefits platforms and wider integration knowledge i.e. Workday, payroll processes and provider reporting requirements
  • Ability to build and maintain effective relationships with a variety of individuals at different levels of seniority
  • Strong communication skills (verbal and written), ability to draft employee and partner communications with right tone and messaging
  • Experience of drafting presentations and presenting data in a relevant format to key stakeholders
  • Proactive approach to benefit engagement, making connections between internal/external factors and how our benefits can support employee lifecycle
  • Comfortable with autonomy, with the ability to take ownership and drive tasks to completion
  • Innovative and resourceful, with an aptitude for continuous improvement

Desirable

  • Experience of employee benefits across EMEA, APAC and MENA
  • Working in an ‘in-house’ reward function
  • Experience of using HR Systems in particular Workday
  • Bachelor’s degree with an emphasis on HR or another relevant field
