Job Description

We are looking for an Administrator to support our Research Division in London. This office-based role will provide comprehensive administrative support and collaborate with colleagues to ensure a smooth support service is provided to the business.

About you and how you can excel in this role

You are a confident, outgoing professional with experience as an Administrator. You possess an advanced working knowledge of Microsoft Word, Excel, PowerPoint and Outlook and are comfortable utilising these packages for a range of tasks. You are highly organised and able to prioritise effectively.

Working in a fast-paced environment with tight deadlines is a way of working you thrive in and you work well under pressure. You are professional in your manner and possess excellent interpersonal skills, demonstrating both initiative and attention to detail in the way you work.

About the role

The primary responsibility is to provide administrative support to our Research Division, while working closely with other Administrators across the Business to ensure that the teams globally are supported.

Specific duties include:

  • Providing general administrative support as required, including setting up meetings and associated agendas, diary management, collating and tracking key metrics for the team
  • Organising travel and accommodation for the team (including visas, currency, taxi bookings, office notification forms)
  • Processing expense claims in a timely manner as well as raising requisitions for invoices
  • Supporting analysts with WoodMac’s publishing process
  • Maintaining presentations, records, spreadsheets and databases
  • Extracting technical/qualitative information from internal databases
  • Setting up and assisting with conference calls
  • Attending internal meetings as required
  • Maintaining team folders i.e. holiday forms
  • Assisting with data entry to ensure systems are up-to date
  • Welcoming client visitors and visiting colleagues from other Wood Mackenzie offices
  • Providing support for specific projects as required
  • Working closely with other Team Administrators to share best practice and ensure comprehensive administrative support to the business
  • Providing administrative cover for other Administrators and Office Reception as required
  • Any other duties as required of the role
