Job Description:

As an Executive Assistant, you will perform diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for a team of senior marketing managers, including the Chief Marketing Officer, Europe Asset Management (CMO). The management of the CMO’s schedule requires an eye for details and at the same time a capability to manage an agenda ahead over multiple months. Additionally, you will need to work closely with other Administrative Assistants to provide support for their area(s) as required. The candidate should have excellent organisational skills and the ability to effectively handle and prioritize multiple tasks. They will need to align procedures, processes and techniques in order to achieve results that are in line with the department's overall activities and goals. Duties also include extensive diary management, coordinating meetings and town halls, and travel arrangements, ordering and maintaining supplies and submitting expenses. Additionally, the candidate will need to exercise independent judgment, and not hesitate to escalate serious or unique problems to higher levels of the firm.

Knowledge, skills and experience required:

  • Advanced organisational skills, secretarial experience and meeting coordination
  • Ability to prioritise work and multi-task requests under pressure
  • Schedule meetings and town halls across various time zones
  • Strong PC skills (proficient knowledge of Outlook, MS Word, Excel, and PowerPoint)
  • Ability to orchestrate travel arrangements, Coordinating the team’s trips and noting the details, i.e. purpose of trip, city, country and duration
  • Effective interpersonal skills, superior oral and written communication skills
  • Tact and good judgment in confidential situations, and proven experience interacting with senior management
  • Preparation and reconciliation of T&E
  • On boarding and off boarding of staff
  • Raising end-user requests (EURCs) and expediting certain queries
  • Knowledge of general office procedures (e.g., filing, correspondence, scheduling)
  • Room bookings – both internal rooms and client meeting rooms, including arranging telepresence and video conference when necessary
  • Ordering of stationery, filing etc.
