We’re looking for Facilities Assistants based near St Katherine's Dock, London, who take pride in their excellent customer service skills to work as part of our small Facilities team, assisting with the smooth running of our office and providing general administrative support. Whilst working full time, you’ll get extensive training to be the best you can be. You’ll be developing your Facilities career in a nurturing and open team environment with a professional yet informal working culture.

The role....

These roles form part of a busy team and in this role you will need to prioritise your workload effectively to ensure the preparation of the meeting rooms and reception spaces. You’ll be responsible for maintaining a professional and tidy office space, help with general maintenance, liaise with caterers, support the reception staff, and uphold our Health and Safety standards. With a friendly and enthusiastic manner, you’ll enjoy liaising with a wide cross section of people, and spot ways to make things more efficient and organised

We are open to offer an Apprenticeship at a later date for these roles if this is of interest to you and you are keen to gain a formal qualification.

Working hours- Monday to Friday, 7am – 3pm / 8am – 4pm / 9am – 5pm / 10am – 6pm (35 hours per week working on a shift rota with the rest of the team)

What you’ll be doing….

This is a varied and interesting role which includes:-

  • Responsible for set up and clearance of main conference rooms and configuration of furniture as required
  • Maintain good standard of meeting rooms throughout the day to ensure suitable level of safety, tidiness and cleanliness to meet Health and Safety requirements.
  • Manage and maintain catering orders, preparing and delivering refreshments to clients using the hospitality suite and other meeting rooms in the office
  • Liaising with the Facilities Manager to resolve issues with faulty equipment and cable management in meeting rooms and open plan offices.
  • Assist with testing and set up of audio/visual equipment in client meeting rooms, carrying out light maintenance duties as required, recording and reporting faults to the Facilities Manager and reception team.
  • Distribution of milk delivery and assist with delivery of early morning catering requests as required
  • Maintain general copiers and printers throughout the building, including provision of supplies and reporting repairs
  • Provide reception cover during busy times e.g. holidays and absences
  • Liaise with Facilities Manager, reporting any building faults requiring specialist maintenance intervention
  • Assist with removal & storage of recycling throughout building ensuring all areas are clean & clear
  • General ad-hoc administration

About you…

To be successful in this role you should have the following skills and experience:-

  • Facilities Management experience and/or IWFM qualification - desirable
  • Experience using various phone systems - desirable
  • Be a smart and well-presented brand ambassador for Ipsos MORI
  • Professional attitude, tone and welcoming manner
  • Self-motivated and ability to work on own initiative
  • Experience in prioritizing workload and attention to detail
  • Client focused with excellent communication skills
  • Excellent written and spoken English
  • Strong MS Office skills
