Assignment

Hubble is a tool that Vanderlande uses internally to retrieve data from it’s ERP system JD Edwards. This data includes various types of financial information such as general ledger overviews, master data on items, customers, and suppliers, as well as sales and purchase order history and a lot more. Hubble is extensively used across the Vanderlande organization, with over 1500 users. Hubble reports can be started manually by a user, but The Hubble tool also provides a scheduler service. This enables us to send the requested reports / overviews by e-mail to the requestors or save it on file location on a scheduled timely basis.

The setup of the scheduled tasks is done within the BIS operations department that you will join. Due to growth of Vanderlande also the number of scheduled reports has increased enormously. and we currently lack visibility into any bottlenecks in the scheduler timelines. As a result, reports are often delivered late or not at all due to prolonged processing times in the JD Edwards database. We seek your expertise to gain better control over this situation and provide recommendations for improvement.

Department

The department Corporate IT consists of 9 teams who are responsible for the development and maintenance of the infrastructure and the IT systems, which are separated in sub teams. The team BIS Operations (Business Information Systems Operations) consists of approximately 10 technical and functional specialists and is responsible for the stability, maintenance and optimization of multiple business applications. The department is responsible for the business applications worldwide for Vanderlande In the area of Supply Chain, Manufacturing, Finance, Service, Installations and Human Resources.

Tasks/responsibilities

Your assignment is to make a plan to get in control off the existing scheduled tasks and advise us how to maintain this in the future:

• Investigate the current scheduled tasks: create insight in the current situation. Are tasks being executed correctly? Runtime duration? Start time(s)? Who is the requestor / owner?
• Eliminate tasks that are no longer needed
• Create a template with a timetable or other ideas to maintain and stay in control
• Advise on naming convention of tasks within the tool
• Advise on the process for new scheduled tasks request
• Advise how to identify outdated tasks and how to remove them

Skills / Your profile

• You are interested in ICT, and processes related to ICT applications
• You have some understanding of ERP systems
• You are analytical and able to visualize processes
• You’re a self-starter and independent worker but you never forget to share your ideas with your co-workers
