Overview

This role will be that of Administrator for the Proposals department, which works on creating bespoke proposals, presentations and further materials to help win major consignments for Sotheby’s auction and private sales.

The role will require development of a good understanding of Sotheby’s and relationships across the company, and to work with a breadth of colleagues across the company – including specialist, press, marketing, BI and photography teams in each of our international locations.

Responsibilities

  • Proactive management of a content library – tracking the global sales calendar and liaising with employees in a range of departments across the global company to regularly and efficiently update image folders, market report pages, quotes sheets, etc with the most up to date and compelling content
  • Liaising with a breadth of colleagues across the company and worldwide to support the above, and help Experts outside of the Proposals team create their own proposals.
  • Booking couriers, packaging proposals and collecting/delivering to and from the post and print rooms.
  • Updating, managing and reporting on the department project workbook.
  • Processing and filing invoices and POs.
  • Processing HoD expenses.
  • Arranging and booking meetings.
  • Archiving the proposals and catalogue libraries.
  • Managing office equipment and supplies
  • To be flexible around working hours – prepared to work late to achieve deadlines when required

Qualifications

  • Educated to degree level, with sufficient verbal, numerical and visual literacy
  • Exceptional attention to detail, excellent organisational skills and consistent proven ability to prioritise and meet self-set deadlines
  • Ability and enthusiasm to work proactively, independently, and under pressure
  • Strong interpersonal and communication skills with the ability to build and manage good working relationships across the company and the confidence and diplomacy to say no when necessary
  • Ideally, knowledge and understanding of the company and/or industry – particularly of expert department business getting, the auction calendar and press/marketing strategies
