Reporting to the Support Services Manager the role is to provide proactive administrative support to the Business Services team of Francis Clark LLP as well as work on Reception and cover for other members of the Support team when required.

What you'll be doing:

  • Providing administration services to the Business Services Managers and team, including audio and copy-typing of letters, file notes and minutes
  • General administration duties such as scanning, photocopying and binding documents
  • Assisting Partners and Managers with billing, including analysing time, drafting bills and dealing with allocation of recorded time
  • Providing reception and telephone cover for one whole day per week and during busy periods, staff sickness and holidays
  • Assisting and dealing with incoming and outgoing post, as required
  • Co-ordinating client books and records
  • Setting up new clients on the firm’s systems, including checking required documents
  • Drafting and tracking client letters of engagement
  • Occasional assistance with preparing presentation slides and reports
  • Providing refreshments for clients and visitors, including arranging catering where appropriate.

About you:

  • Good typing/keyboard skills including audio and copy typing
  • Educated to GCSE level (or equivalent) minimum, with grades A-C/5-9 to include English and Maths
  • Strong IT skills, with an aptitude towards spreadsheets and word processing (Microsoft office)
  • Applicants should be proactive, efficient, organised and comfortable working without support
  • Polite and friendly manner and able to communicate at all levels
  • Reliable, punctual, professional and able to use initiative
  • Strong attention to detail
  • Excellent organisational skills
  • Able to prioritise workloads and meet deadlines.
