Job Description

Executive Assistant Flexible, and as required Monday to Friday Managing Partner Management Team

This is a new role providing crucial support to the Managing Partner of a medium sized-law firm which is at an exciting period in its growth and development. It requires business professionalism, exceptional written and verbal communication skills, strong organisational skills, good judgment and the ability to effectively and efficiently handle confidential matters with the utmost discretion

As Executive Assistant to the Managing Partner you will be proactive and comfortable working in a fast paced environment with the ability to plan ahead and manage your work to meet deadlines. There will also be opportunities to work with other members of the Management Board and Management Team, to support them in achieving their goals and objectives.

Responsibilities to include:

  •  Understanding the role of the Managing Partner and supporting her in carrying out her work and meeting her objectives
  •  Keeping up to date with market trends in law firm management to support the development of firm-wide objectives, and briefing the Managing Partner
  •  Supporting the Managing Partner in planning, leading, managing and co-ordinating various firm wide projects
  •  Supporting the Managing Partner in her work, including research, drafting and presentation of briefing papers, project plans, reports and proposals
  •  Ensuring that the Managing Partner is well briefed and prepared before meetings advising on issues and ideas as well as preparing relevant paperwork
  •  Drafting the Managing Partner’s presentations to AGM, partners’ meetings, partners’ conferences and to external audiences
  •  Drafting and preparing written communication materials including firm wide emails and project updates
  •  Preparing for meetings, to include their planning, compiling agendas, pulling together background materials, preparing briefing documents and meeting packs. After meetings, generating meeting notes/minutes/action points, documenting follow up actions, and ensuring their timely completion
  •  Close collaboration with other members of the Management Board and Management Team, ensuring that they deliver their objectives
  •  Project work as delegated by the Managing Partner.

Person Specification Job Title: Executive Assistant

Essential

Education/ Qualification:

 Graduate, ideally with a 2.1 honours degree in a business-related subject (or with business-related post-graduate qualification)

 A relevant post-graduate qualification would be desirable, ideally in a business-related subject.

Knowledge and Technical Ability:

  •  Has a minimum of three to five years’ experience working as an Executive Assistant/Adviser to a high level manager in a professional services, and ideally in a legal environment
  •  Able to achieve high standards working in a very busy, deadline driven, environment
  •  Excellent writing skills
  •  Strong analytical and problem solving skills
  •  Strong organisational and prioritising skills and able to complete work to a
  • high standard under pressure
  •  Ability to handle multiple tasks simultaneously and well
  •  Ability to work independently, take initiative, set priorities and see projects
  • through to completion on time
  •  Advanced knowledge of Outlook, Word, Excel and PowerPoint and any
  • other core systems implemented by the firm
  •  Develops own knowledge and skills to meet the demands of the role.
