The Business Office’s list of day-to-day functions for the purpose of maintaining and increasing value are: Facilities Management, Real Estate Planning, Annual Budget/Capital Management, Project & Program Management, Professional Development (training), Government Reimbursement Programs, Recruitment, Inventory Control, Business Continuity, Physical Security, Procurement, and Onboarding.

This role will focus specifically in Annual Budget/Capital Management, Inventory Control and Procurement.

Key Responsibilities include;

Monthly financials [Belfast, London, India & Singapore]:

  • Monitor technology financial spend each month (capital & expense)
  • Create financial budgets & forecasts
  • Encourage and enforce budget adherence
  • Produce monthly reporting on various management requests
  • Identify, investigate and rectify any anomalies

Purchasing [Belfast, London, India & Singapore]:

  • Managing procurement requests through JIRA with Procurement team
  • Obtaining quotes from vendors at competitive pricing
  • Complete purchase through Workday
  • Inspect goods on delivery
  • Receipt through Workday and track spend through relevant accounts
  • Generally, manage and utilize vendor relationships and contracts
  • Produce reporting on various procurement requests

Asset management & audits

  • Keep accurate records of all assets
  • Aid in the quarterly hardware audits
  • Provide insight and reporting to all area of the business regarding hardware and assets where needed

Mobile phone purchasing, management and tracking:

  • Procuring mobile devices for staff
  • Managing the active lines with phone supplier
  • Manage any refreshes that are required
  • Investigate monthly spend and ensure budget adherence alongside opportunities for cost saving

Employee travel & expense management

  • Respond to all employee queries on travel & expenses issues
  • Work with employees and work with wider Travel and Expense Management team to resolve any issues
  • Monitor spend monthly and produce reporting to management on team spend

R&D grant Management:

  • Manage all R&D tax relief claims for CME Group UK Entities on an annual basis
  • Work with teams across all entities to ensure all eligible projects are included in the annual claims
  • Work with relevant tax accounting firm to ensure a smooth and efficient process is achieved
  • Produce relevant reporting to management on progress of claims throughout the year

Policy & Guidelines:

  • Create, manage, update and advise on multiple CME Belfast policy & procedure documentation including financial management, purchasing, travel & expenses, facilities & office management.

Essential

  • Bachelor’s degree or equivalent work experience.
  • Experience within a Financial / Data Analysis Role
  • Advanced Excel with proficiency in other Microsoft Applications i.e. Word, PowerPoint etc.
  • Budgetary Management Experience

Desirable

  • Experience working with NI government, government agencies and/or Financial Services Industry.
  • Experience working in a Technology environment
