Role Purpose

This role is for a proactive and competent Team Assistant who will operate successfully in a pressurised and fast-paced environment, providing support to executive assistants, personal assistants and stakeholders. Reporting to the Practice Group Manager, the individual needs to be adaptive and supportive of change and sufficiently experienced to build relationships. The role will include proactively and reactively taking ownership of administrative tasks and playing a critical role in managing all routine and daily administrative requests.

Key Responsibilities and Deliverables

  • Building strong relationships with assistants and stakeholders across the department;
  • Ensuring all activities and duties adhere to risk and compliance requirements;
  • Attending and contributing to team meetings as required;
  • Typing – using a wide range of applications to a basic level;
  • Expenses – accurate and timely system entry;
  • Data input – e.g. time entry; Excel; client database, InContact;
  • Filing – organising and maintaining hard copy and soft copy files;
  • Indexing and archiving files when required;
  • First point of contact for printing, photocopying, PDF scanning and faxing;
  • Information - preparing client files, document packs and bundles; labelling, indexing, binding or collating as required by the stakeholders;
  • Billing - assisting with the preparation of billing information and reporting;
  • Responding to email requests in a professional manner;
  • Monitoring and administering stationery supplies to ensure department is fully equipped at all times;
  • Building strong relationships with business services teams and ensuring effective and efficient use of business support services;
  • Monitoring hardware such as printers and photocopiers to ensure paper and toner is replenished and that all technical faults are fixed in a timely manner;
  • Delivering tasks to desks where required;
  • Taking full ownership of tasks and managing workload against deadlines and business need; liaising with other departments such as print room and document specialists to efficiently facilitate requests;
  • Identifying and facilitating knowledge sharing within peer group and wider team;
  • General and ad hoc administrative support.

Key Requirements

  • GCSE English & Maths;
  • Previous administrative experience or CILEx qualified;
  • Basic Microsoft Office skills;
  • Computer literate;
  • Confident and professional manner with the ability to build strong relationships with stakeholders and clients;
  • Excellent communication skills;
  • Strong organisational skills and excellent attention to detail;
  • Ability to remain proactive and flexible at all times;
  • Ability to anticipate and identify potential problems and provide innovative solutions;
  • A strong team player;
  • Flexibility to work outside of core hours, as required.
