The role

Personal Assistant

To provide organised, efficient PA support to the director of health, safety and wellbeing. Helping make the best use of their time and resources.

To establish an extensive knowledge of the organisation, know who key personnel are (both external and internal) and understand the organisation and function aims and objectives.

To be dependable to handle work autonomously, efficiently, with appropriate discretion and confidentiality.

Your responsibilities will include:

  • Implementing and promoting Mace policies and procedures.
  • Maintaining complex and detailed management of one or multiple diaries.
  • Dealing with incoming email and post and responding on their behalf when directed.
  • Liaising at high level with both clients and colleagues.
  • Processing and assisting with expenses and timesheets systems.
  • Organising meeting and team events.
  • Liaising with clients, suppliers and other staff.
  • Keeping accurate filing and archiving systems.
  • Preparing of reports and documents internally and externally using Microsoft Office applications including Excel, Word, Outlook and PowerPoint.
  • Dealing with potentially sensitive and confidential information discreetly at all times.
  • Itinerary planning (handling UK and occasionally international) including travel and hotel arrangements.
  • Performing general clerical duties including tendering data, filing, answering telephone calls, relaying messages, meeting and greeting guests.
  • Building and maintaining relationships with internal and external stakeholders.
  • Performing any other duties as and when required.

The requirements

Your experience, knowledge and skills need to include:

  • Previous PA experience and knowledge of executive PA principles.
  • Ability to support use of internal systems.
  • Understanding or interest of professional service and/or the building/property industry is preferred.
  • Proficiency in Microsoft Excel, Word, PowerPoint and In-design is essential.
  • Experience using Office 365 applications and Apple devices.
  • Expertise in writing and proof-reading.
  • A proven understanding of project management techniques.
  • Great interpersonal skills.
  • Proven experience of managing diaries.
  • Ability to communicate confidently and effectively.
  • Being proactive, positive and organised individual.
  • Strong attention to detail.

Qualifications

  • A good standard of general education.
