Regional Office Manager

Mimecast is seeking a highly knowledgeable, organized, and multi-talented Regional Office Manager to join our progressive, global facilities team. Based in our London office, you will have the opportunity to work with other highly skilled office managers and a variety of construction professionals, while representing one of the leaders in providing great places to work. You must possess outstanding interpersonal and analytical skills and own your projects. You must be fiscally knowledgeable, have a solid understanding of facilities and office management fundamentals and show a strong attention to detail. You need to exhibit initiative, work independently and provide strong team and project leadership.

Key Responsibilities:

  • Manage assigned Mimecast office locations including daily operations, maintenance, budget management, reception teams, and special events.
  • Proactively identify, own, and solve issues within Mimecast standards and culture guidelines
  • Recommend policies for internal communication for local/global regions
  • Responsible for general office security, including employee badge and visitor management systems (as required)
  • Cultivate and maintain professional working relationships with the landlord, property management personnel, vendors, and service providers
  • Source and manage contracts in conjunction with procurement with new vendors and contract renewal
  • Coordinate employee moves, adds and changes and oversee local space management in conjunction with Workplace manager
  • Local owner of the annual office budget
  • Track office purchases and maintain monthly inventory of supplies and consumables consistent with budget
  • Ensure all purchasing policies are strictly adhered to
  • Represents facilities in the local new hire/termination process with HR and IT
  • Oversee Regional work ticket management system processes using Zendesk
  • Implement and manage Fire and Life Safety practices consistent with Mimecast, local jurisdiction, and local Landlord standards
  • Familiarity with VC and AV equipment and act as first line support
  • Work in partnership with employee engagement and others on event planning and execution
  • Coordinate conference room setup and catering consistent with Mimecast policies
  • Work with global ESG team for reporting
  • Lead the regional EMT and health and safety processes and participate in the Business Continuity efforts

Qualifications:

  • 3+ years’ relevant office/administrative experience in a similar office environment
  • Bachelor’s degree preferred in a technical, business, or related field.
  • Excellent time management skills with ability to multi-task and prioritize work
  • Exceptional verbal and written communication skills
  • Strong organizational, planning, and problem solving skills with the ability to work independently in a fast-paced setting
  • Knowledge of building management systems
  • Ability to maintain confidential employee information
  • Previous experience in cross functional work within a progressive company
  • Hands on approach with ability to work at both the detail and execution levels while managing the strategic direction.
